Hospice Mississauga is a non-profit organization providing support to people and their families experiencing life limiting illness and end of life, serving over 1,500 individuals a year in Mississauga. Our mission is to provide compassion, support and advocacy that lessens the distress of terminal illness and loss on individuals, families, and the community. Our continuum of support programs includes hospice counselling, spiritual care, HUUG (Help Us Understand Grief) Children’s program, Social Connections, health and wellness education, bereavement and will soon be grown to include in-patient hospice beds within our future Hospice Centre.

Hospice Mississauga is seeking to hire a Campaign Coordinator to help us as we embark on a comprehensive capital endeavor to build Mississauga’s first Hospice residence.

About the Opportunity: 

Reporting to the Director, Campaigns, theCampaign Coordinator is a key member of the Hospice Mississauga development team, providing organization and administrative expertise to benefit our campaign efforts and overall mission. The Campaign Coordinator works closely with the Director, Campaigns and Campaign chairs to help keep the campaign on schedule and progressing with a high level of visibility and momentum that engenders a sense of excitement, optimism, and confidence in achieving the campaign goal. 

Key Responsibilities of the Campaign Coordinator: 

Major Donor Work

Arrange meetings with major donors: Work with the Director, Campaigns, Major Gift Officer, Campaigns, and campaign leaders to schedule meetings with prospective donors. This includes email and phone calls to all people involved. Once the donor has agreed to meet, he/she is responsible for making the meeting happen.

Assist the Director, Campaigns, Major Gift Officer, and other campaign leaders in keeping the momentum for arranging meetings with donors. The incumbent will make suggestions about possible meetings/engagement opportunities and encourages the leaders to be proactive in reaching out to donors.

Handle meeting responsibilities include making lunch reservations, coordinating schedules with a staff person for a tour of the grounds, sending a confirming email or note the day before the meeting, sending any necessary information to the donor before the meeting.

Prepare materials needed for major donor meetings: The coordinator will customize materials, keeping them updated and organized and prepare packages of materials for donor meetings as directed. 

Follow up from major donor meetings: In this role you will make sure the donor is thanked appropriately and receives the materials or follow up action promised at the meeting. You will make sure that records of the meeting are updated and filed and that follow-up actions are noted so they can be acted on in the future.

Conduct prospect identification and research: From time to time, you will conduct prospect research to identify donors and to gather information about people both new prospects and current donors. 

Help execute communication plan for donors and other stakeholders.

Support the planning and execution of campaign-related events. 

Campaign Committee Work 

Work with the Director, Campaigns, and campaign leaders to schedule committee meetings and make sure that all the necessary material is organized and available at the meeting.

Attend each meeting and keep accurate notes about what happened, especially noting who agreed to do what actions following the meeting.

Follow up with each person reminding (and clarifying with) them about what they have agreed to do and provide them with whatever they need to get the task done.

Coordinate other meeting follow-ups, such as drafting notes for the Director, Campaigns, and campaign leadership, to work with after the meeting. 

Gift Acknowledgment and Tracking

Ensure that every campaign gift and pledge is managed seamlessly so that the donor is officially thanked within a timely fashion of receiving the gift and thanked again by other members of the campaign team.

Make sure that each gift is credited appropriately in the accounting system, noting any on-going pledge payments and reminders.

Update the campaign reports and make current campaign reports easily accessible via a SharePoint portal. 

Maintain an updated list of naming opportunities, which forms part of a donor recognition grid. 

Work collaboratively with the database and stewardship administrator. 

Campaign Reporting and Coordination

Develop and maintain an accurate report of campaign progress to date. 

Coordinate with the other development staff to make sure that all contact with campaign donors is coordinated so as not to conflict with other operating fundraising and volunteer efforts. 

Communications and Public Relations Planning

Assist in developing and executing, with the Director, Campaigns and campaign leadership and staff, a public relations/communications plan to keep the campaign in the public’s eye and to maintain its momentum.

Qualifications and Experience of the Campaign Coordinator:

Post-secondary education in business administration, event, communications, public relations or related field or relevant professional and life experience. 

3-5 years of project coordination, event management, administration, and leadership support, in the non-profit/charitable sector is desired. 

Experience working in customer service or external relationship management. 

Demonstrated excellent communication skills (verbal and written), interpersonal, and problem-solving skills. 

Ability to manage multiple tasks and prioritize tasks in a positive and effective manner, meeting critical deadlines. 

Ability to condense and package information in a visually appealing and logical manner. 

Accuracy and attention to detail is imperative. 

Strong computer skills in utilizing Microsoft Office program (Excel, Word, PowerPoint, SharePoint, Planner, Outlook) and database management (experience with Donor Perfect fundraising software an asset). 

Experience using social media platforms including Facebook, X, and Instagram an asset. 

Working Conditions and Mandatory Requirements: 

Travel is required; the incumbent must possess a valid driver’s license and have use of a reliable vehicle. 

The work is such that some evening and weekend work is required.
