Reports to: Head of School

Summary of Position:

  • The Administrative Assistant is the first point of contact for students, staff, families, visitors and service providers arriving at HNMCS. As such, it is expected that the Administrative Assistant will meet, greet and direct all arrivals in a warm, friendly, professional and efficient manner, ensuring that all needs are appropriately handled. They will also manage attendance tracking and front office communication, including using Messenger.

Specific Accountabilities Include:

  • Greets visitors and provides professional and friendly help and direction to members of the HNMCS community and the general public
  • Answers main phone lines and directs calls accordingly
  • Ensures a welcoming, tidy and inviting reception area
  • Tracks and monitors daily attendance records, students signing in and out and communicates unauthorized absences and uniform infractions to parents and school administration
  • Prepares and organizes end of day bus lists, daily bus ride tickets, coordinates with teacher on bus duty and ensures all bus students are accounted for
  • Tracks and manages general school and office supplies orders, and first aid supplies, including refilling the first aid kits after they have been signed back in
  • Coordinates the conference room booking system
  • Has an understanding of the daily school routines
  • Performs routine administrative functions such as data entry, correspondence preparation, mailings, mail, filing, photocopying and postage meter maintenance
  • Manages Head of School calendar including booking appointments
  • Performs other duties as assigned

  • Proven ability to exercise good judgment and make split-second decisions
  • Proficiency in Google Suite with particular emphasis on Google Drive, Docs, Sheets and Gmail
  • Knowledge of PowerSchool an asset
  • Proven ability to prioritize and handle confidential information
  • Strong organizational and time management skills with the ability to remain flexible
  • Receptionist experience in an educational environment, preferably in the independent system
  • Effective team player; and ability to work independently
  • A high degree of comfort with change
