Position Overview:
We are seeking a dedicated and organized Client Services Coordinator to join our growing team. Reporting to the Client Services Manager, the Client Services Administrator will provide exceptional support to our clients, subcontractors, and internal teams. This role involves a combination of general administrative tasks, client communication, proposal/quotation support, document control, service order coordination, and accounting support. The ideal candidate is proactive, detail-oriented, and a team player with excellent communication skills and a strong commitment to delivering outstanding client service.
Key Responsibilities:
- Administrative Support: Assist in the management of client accounts, including data entry, updating records, and maintaining accurate and organized documentation. Collaborate with internal teams and partners to ensure seamless client onboarding, ongoing support, and accurate billing.
- Communication: Communicate promptly with clients, suppliers, and subcontractors as required, addressing inquiries, concerns, and service/dispatch requests in a friendly and helpful manner via phone and email.
- Coordination: Collaborate with various internal departments to help ensure client needs and deadlines are met effectively. Coordinate with internal and external resources to deliver on client requests, proposals, projects, and on-site service dispatch.
- Document Control: Generate regular and ad hoc reports to track sales, service performance, payroll, AR, and other relevant metrics as directed. Organize, monitor, and maintain quality electronic document folders and assist with updates within sales/project software.
- Proposal/Quotation Support: Provide internal teams with support in preparation of client proposals and quotations, ensuring attention to detail and quality of each submission.
- Sales Support: Assist with coordination of regular social media posts, administrative support for events, sales initiative administrative support, and other duties as assigned.
Qualifications:
- High school diploma and completion of relevant post-secondary education, or equivalent experience.
- Proven experience in a customer service, client support, or administrative role.
- Excellent organization, communication, and written/verbal skills are required. Attention to detail is essential.
- Strong problem-solving abilities with a proactive, client-oriented mindset.
- Ability to work effectively and independently in a collaborative team environment.
- Prior experience in a related industry (e.g., construction, HVAC, maintenance services, electrical, etc.) considered an asset.
