Key Responsibilities:

  1. General office administration and organization
  2. Greet and welcome guests and provide general administrative support to the office
  3. Event organization
  4. Environmental health and safety
  5. Coordinate appointments and schedule to help the office run smoothly
  6. Prepare and curate documents and provide reliable support for office operations by creating procedures and communicating them company-wide
  7. Point person for maintenance and communication with external contacts for office needs
  8. Assistance with preparation and submission of technical documents and proposals
  9. Invoicing
  10. Document control support

We Are Looking For:

We are looking for an enthusiastic, personable, and experienced individual who is adaptable to different situations. You should be able to effectively communicate and coordinate with team members and external contacts to complete projects. You must be agile and able to navigate change and reorganize priorities without issues. Keeping the office and staff administrative demands timely and organized is a top responsibility.
As the Office Manager, you will be responsible for administrative tasks such as ordering products for the office and welcoming guests, as well as assisting with project invoices and helping the team with administrative, technical, and other documents as necessary. You will be required to participate, plan, and assist with hosting various trainings and events.

About You:

You are a self-starter, driven, and detail-oriented individual experienced in office administration, communications, technical writing, event planning, or a combination of relevant experiences. A post-secondary degree in administration, communication, or a related field is required.
Experience in a consulting/engineering industry/office is considered a strong asset. You are right for this role if you are open to learning new skills and developing new credentials. You must be flexible and open to a fast-paced growing environment, as different opportunities will arise throughout your work with CHARTER, and you must be willing to accept the challenges that come along with it. Proficiency with Microsoft Office Suite software programs is required.
