Position: Operations Specialist, HR

Location: Downtown Toronto (Hybrid - walking distance from Union Station)

Salary: $50,000 and up


Position Overview:


We are seeking an Operations Specialist, HR to support our onboarding teams. This role is critical to providing a seamless experience for employees and contractors, from onboarding through the duration of their engagement. The position requires someone with a strong focus on client relations, organizational excellence, and the ability to work independently within a fast-paced environment.


Key Responsibilities:


- Client Relations: Maintain strong relationships with clients by responding promptly to inquiries, customizing solutions, and distributing reports as needed.

- Onboarding Support: Assist the Onboarding Coordinator, providing back-up support and ensuring all required employee and contractor information is gathered for employment/service agreements.

- Data Management: Keep internal trackers and client portals current with accurate, up-to-date information.

- Exit Interviews: Conduct exit interviews and analyze data on a quarterly basis to identify trends and areas for improvement.

- Surveys & Audits: Execute annual Satisfaction Surveys, analyze data, and assist with ad-hoc audits to streamline onboarding processes.

- Job Posting & Budgeting: Support ad posting efforts, monitor budgets on job boards, and track expenditures.

- Training & Compliance: Deliver mandatory provincial training to the contingent workforce and ensure all processes comply with current employment legislation.

- Testing & Support: Administer online tests and provide after-hours support as necessary.

- HR Collaboration: Work closely with the HR team to address inquiries, respond to concerns, and drive HR initiatives.

- Process Improvement: Actively seek and recommend opportunities for process improvements.

- Special Projects: Participate in special client projects as assigned.

Qualifications:

- Education: Bachelor’s degree in HR, Business Administration, or a related field preferred.

- Experience: 3+ years of experience in administration, onboarding, or similar roles.


Skills:


- Excellent organizational and time-management abilities.

- Strong communication and interpersonal skills.

- Ability to work both independently and as part of a collaborative team.

- High attention to detail with a focus on data accuracy.

- Strong problem-solving capabilities.


Technical Proficiency:


- Skilled in Microsoft Office Suite.
