Senior HR Administrative AssistantOverviewWe are seeking an experienced Senior HR Administrative Assistant / HR Operations Administrator to support the full employee lifecycle and HR operations function. This role is highly administrative, process-driven, and detail-oriented, with responsibility for HR systems, onboarding/offboarding, recruitment coordination, equity administration, compliance tracking, documentation, and policy support.The ideal candidate brings strong HR operations experience, exceptional organizational skills, and a high degree of professionalism when handling confidential employee and business information.Key ResponsibilitiesHuman Resources OperationsAdminister HRIS and consultant/talent management systems (e.g., BambooHR, Checkr, WorkSuite), including oversight of onboarding and offboarding workflows.Maintain accurate, up-to-date employee and consultant records and ensure HR files are well organized.Manage employee equity grant documentation and settlement workflows, ensuring accuracy and timely processing.Monitor consulting and employment agreement expirations, renewals, and required updates.Prepare, maintain, and update templates for employment agreements, amendments, consulting agreements, equity incentive documentation, and HR process documentation.Coordinate and track performance reviews, policy acknowledgements, AODA training, and other compliance requirements.Create and maintain HR surveys, forms, and standardized HR process documentation.Onboarding & OffboardingCoordinate end-to-end onboarding and offboarding processes for employees and consultants.Prepare onboarding packages, forms, and required documentation.Ensure all onboarding and offboarding steps are completed accurately and in a timely manner.Support system access, documentation tracking, and process compliance.Recruitment SupportSupport recruitment activities including:Posting open rolesScreening resumes and candidatesScheduling interviews and managing follow-upsAssist with compliance and reporting related to recruitment transparency requirements.Support drafting and maintaining recruitment-related policies and documentation.Reporting, Training & CompliancePull and prepare HR, training, and vacation reports.Track completion of internal training programs and mandatory compliance requirements.Support Health & Safety documentation and administrative tracking.Ensure documentation and reporting are completed accurately and on schedule.Policy & Documentation SupportAssist with drafting, reviewing, and maintaining HR policies and procedures.Conduct research (including AI-assisted research where appropriate) to support policy development and documentation updates.Continuously improve HR workflows, forms, and administrative processes to increase efficiency and consistency.Knowledge, Skills & AbilitiesMinimum 3+ years of experience in HR operations, HR administrationStrong proficiency with Google Workspace, Microsoft Office, DocuSign, and Slack.Experience with BambooHR, WorkSuite, Ledgy, and Checkr is an asset.Excellent organizational, multitasking, and time-management skills with the ability to adapt to shifting priorities.Strong verbal and written communication skills with advanced proofreading ability.High level of discretion and professionalism when handling sensitive and confidential information.Ability to work independently, take initiative, and follow instructions with minimal supervision.Proven dependability and punctuality.Comfortable learning new tools and working in a fast-paced environment.Compensation & Work ModelSalary: $70,000 – $80,000 annuallyBenefits: Comprehensive health benefitsVacation: Unlimited vacation policyWork Model: Hybrid (in-office 2 days per week
