Nous recherchons un individu proactif et soucieux du détail pour superviser les opérations quotidiennes de notre bureau. En tant que Gestionnaire de l'Administration des Opérations en Arrière-plan, vous jouerez un rôle crucial dans le bon fonctionnement de nos processus administratifs et le soutien de divers aspects de la gestion de projet.
Responsabilités :
- Administration de Projet : Guider les projets de l'initiation à la clôture en gérant les tâches administratives et de bureau. Cela comprend la préparation de la documentation contractuelle, la saisie des données du projet dans les systèmes pertinents et la gestion des comptes clients, des coûts, des retenues et des mises à jour de l'état du projet.
- Comptes Clients et Facturation : Générer des informations de facturation, créer des factures et mettre à jour les systèmes pertinents. De plus, gérer les recouvrements et tenir à jour les rapports de ventes mensuels.
- Soutien RH : Aider à l'embauche, à la cessation d'emploi et à la tenue à jour des dossiers des employés. Gérer les tâches de paie et garantir la conformité aux réglementations pertinentes.
- Remises et Rapports : Préparer divers rapports de remises et des prévisions de trésorerie basées sur les encaissements et les paiements. Aider à la préparation des déclarations fiscales annuelles de la paie.
- Autres Tâches Administratives : Coordonner les tâches avec les parties prenantes, y compris le président, le directeur de l'administration, le directeur de production et les chefs de projet. Gérer les appels téléphoniques, le classement et d'autres tâches ad hoc selon les besoins.
Exigences :
- Expérience : Expérience préalable dans des rôles administratifs, de préférence dans le secteur de la construction.
- Maîtrise des Logiciels : Maîtrise des logiciels comptables, avec des connaissances d'Avantage considérées comme un atout. De solides compétences en Microsoft Excel sont essentielles.
- Esprit d'Équipe : Posséder une éthique de travail collaborative, avec la capacité de travailler de manière autonome tout en maintenant professionnalisme et attention aux détails.
- Stabilité : Histoire démontrée d'emploi stable.
- Expérience en Environnement Syndiqué : La familiarité avec les environnements syndiqués est un avantage.
- Horaires de Travail : Capacité à travailler de 7h00 à 15h30, avec une flexibilité pour répondre aux exigences des projets.

Office Manager - Construction (West-Island)
Salary: Up to $75,000/year
Are you a highly organized and well-spoken administrative professional with experience in the construction industry? We’re seeking a proactive Office Manager to join our West-Island team. In this critical role, you'll manage the day-to-day operations of our office, ensuring efficient administrative processes and providing essential support for project management.
Key Responsibilities:
- Project Administration: Manage project documentation from initiation to completion, including preparing contracts, entering data into systems, and overseeing accounts receivable, costs, and project status updates.
- Accounts Receivable & Invoicing: Handle billing information, create and issue invoices, manage collections, and maintain monthly sales reports.
- HR Support: Employee records maintenance, payroll tasks, and ensure compliance with regulations.
- Remittances & Reports: Prepare remittance reports, cash flow forecasts, and assist with annual payroll tax reporting.
- Client Interaction: Professionally handle daily client interactions, addressing inquiries and ensuring client satisfaction.
- Administrative Duties: Coordinate with stakeholders such as the President, Director of Administration, Production Manager, and Project Managers. Manage phone calls, filing, and other ad-hoc tasks as needed.
Requirements:
- Construction Industry Experience: Proven experience in administrative roles within the construction industry is essential. CNESST Construction experience is a must
- Organizational Skills: Highly organized with the ability to manage multiple tasks and projects efficiently.
- Communication Skills: Well-spoken with strong interpersonal skills for effective client interactions and internal communications.
- Software Proficiency: Proficient in accounting software (knowledge of Avantage is a plus) and strong Microsoft Excel skills.
- Team Player: Collaborative work ethic with the ability to work independently while maintaining professionalism and attention to detail.
- Stability: Demonstrated history of stable employment.
- Union Environment Experience: Familiarity with union environments is advantageous.
