The Undergraduate Program Advisor plays a vital role in supporting the academic success of undergraduate students in the Bachelor of Computer Science programs. Reporting to the Director or their designate, the Associate Director, and under the day-to-day supervision of the School Administrator, this position is responsible for organizing, advising, and performing administrative duties required for all undergraduate students.
The incumbent advises students on required courses, assists with complex program adjustments, and monitors registration requests. They also determine students' eligibility for yearly Departmental awards, audit and prepare graduation summaries, and provide liaison with the Registrar's Office, Admissions, Awards, Co-op officers, and other Schools and Faculties.
The Undergraduate Program Advisor provides information to high school counsellors and students, serving as the liaison person between the School and the Carleton Computer Science Society. They compile data as required, are a member of the Curriculum Committee, and assist with building the Computer Science course timetable in DCU and Banner.
Key Responsibilities:- Advise students on required courses and program adjustments
- Monitor and process registration requests
- Determine students' eligibility for Departmental awards
- Audit and prepare graduation summaries
- Provide liaison with various university departments and faculties
- Compile data and reports as required
- Assist with curriculum development and course timetabling
The incumbent must possess an extensive knowledge of undergraduate programs, preferably in Computer Science. They must also acquire an excellent knowledge of university regulations, procedures, and precedents involved in academic decision-making.
Reliability, accuracy, and confidentiality are essential, as is the ability to represent the School of Computer Science to prospective students, their parents, and school officials. Strong interpersonal, listening, presentation, and communication skills are required, as well as the ability to relate successfully to all members of the University community.
The position requires a sensitivity to and understanding of various cultural, ethnic, and linguistic profiles, as well as recognizing students in distress. Good judgment, discretion, and tact are essential, as is the ability to work effectively in a team environment.
Excellent skills in electronic data processing equipment and software applications relevant to the University are necessary, as is the ability to multitask and work under pressure. Creative problem-solving skills and personal initiative are also required.
Education and Experience:The above qualifications are normally acquired through the completion of a university degree and four years of administrative experience in a post-secondary setting.
