Job Summary: We are seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support to senior Directors/Managers. The successful candidate will be responsible for organizing and prioritizing administrative activities, typing and formatting documents, and performing payroll functions.

About Shared Health: Shared Health leads the planning and coordinates the integration of patient-centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

Key Responsibilities:

  • Organize and prioritize administrative activities for senior Directors/Managers, ensuring timely completion of tasks.
  • Type, format, and proofread a variety of documents, including correspondence, minutes, agendas, and policies.
  • Assist Directors/Managers with monitoring and analyzing operating budgets and expenditures, preparing ad hoc financial reports as requested.
  • Take initiative to handle administrative matters and solve problems independently.
  • Develop, maintain, and update databases, including data collection and entry, analysis, and report preparation.
  • Perform payroll functions, monitoring position control information, and verifying information from various sources.
  • Provide direction to junior employees, including workload delegation, on-the-job training, and performance appraisals.

Requirements:

  • Five years of directly related experience required.
  • Experience scheduling and coordinating meetings, composing correspondence, and recording minutes and agendas.
  • Demonstrated ability to organize, assign, and supervise the work of junior employees.
  • Ability to maintain spreadsheets and databases, and proficiency with computerized systems (Microsoft Office Word, Excel, Access, and PowerPoint).
  • Excellent communication skills, verbally and in writing, and ability to prioritize a large workload.

Physical Requirements:

  • Required to work for long periods of time at a computer.
