Job Purpose

The Administrative and Process Improvement Coordinator will provide oversight and leadership to several agency-wide projects. Under the direction of the Manager, Administration and Process Improvement, this position will work to ensure that Bissell Centre and its programs, services and administration maintain high standards of accountability through the application of process improvement principles. The Administrative and Process Improvement Coordinator will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

This role will incorporate the goals of the Strategic Plan into the following: internal agency communications planning and collaborative process mapping. The Administrative and Process Improvement Coordinator will build organizational capacity through developing robust processes which ensure accountability and contribute to sound governance; will establish and implement strategic and business plan initiatives which support the achievement of Bissell Centre's broader strategic and operational goals.

Duties and Responsibilities

Administrative Coordination

  • Work with leadership and individual departments to improve agency wide processes.
  • Ensure that process maps are developed in accordance with, and follow the collaborative process improvement platform
  • Develop and implement a framework for identifying, selecting and monitoring progress of process improvements.
  • Assists in implementation of a process audit to keep the processes up to date.

Accountability

  • Work with Leadership and Management Teams to create and maintain a culture of accountability in the areas of finance, administration, and operations.
  • Follow management and employee accountabilities program based on positional levels of authority.

Internal Communications Strategy

· Regularly scan and assess communications protocols within Bissell Centre. Lead efforts to address issues and gaps and identify opportunities to optimize communication.

Process Improvement

  • Working with leadership and individual departments to improve agency wide processes.
  • Assisting with prioritizing tasks and managing deadlines for projects.
  • Assisting in researching and gathering information to support decision-making processes.
  • Providing solutions to administrative challenges and escalating issues when necessary.

Executive Initiatives and Administrative Supports

  • Provide administrative and project-focused support to the Manager, Administration and Process Improvement and Director, Community Development and Advocacy to help advance organizational strategic goals and objectives, as required.
  • Make recommendations and suggest ongoing improvements.
  • May act as advisor on administrative matters to senior management.

· Coverage of reception duties; Secondary on phones, admitting visitors, manage incoming/outgoing mail . Accepting Donations and event items for drop off and supervision of volunteers as needed.

  • Prepare reports, memos, and other documents, as directed.
  • Additional tasks as needed

Qualifications

  • Diploma in Business, Administration, Human Resources or relevant education required.
  • Prior experience preferred in an instruction, instructional design, or learning development role
  • Experience in project coordination from conception to completion and/or Six Sigma training/experience preferred
  • Excellent resource, planning and time management skills
  • Prior experience in Power Automate in SharePoint preferred but not required

Conditions of Work

· Monday to Friday, 8am to 4:30pm. Flexibility of the working day is inherent in the position. The workload fluctuates. Flexibility to work evenings and weekends is required.

· Plan: Determine strategies to move the organization forward, set goals, create, and implement action plans, and evaluate the process and results.

· Solve Problems: Assess problem situations to identify causes, gather and process relevant information, generate possible solutions, and make recommendations and/or resolve the problem.
