Job Summary

We are seeking a highly motivated and organized Coordinator to join the Talent and Learning Centre of Excellence within the University Health Network's People and Culture team.

The Coordinator will play a central role in the seamless operation of UHN's leadership development programming, providing administrative and logistical support, budget management, event planning and scheduling, evaluation and continuous process improvement for programs and processes.

Key Responsibilities
  • Plan and organize the logistics and scheduling of leadership programs and other program-related events, including negotiating and managing facility arrangements, working closely with IT, and managing technical assistance.
  • Primary contact for leadership development training inquiries, managing multiple inboxes in accordance with set service level agreements.
  • Produce and manage program pre-work and follow-up materials, such as learning journals and final attendance reports.
  • Support participant intake, registration, and communications for leadership development programs.
  • Maintain regular communication with program participants, facilitators, and other stakeholders, providing updates, responding to inquiries, and gathering feedback.
  • Track and analyze program metrics and participant progress, preparing reports and presentations for stakeholders.
  • Assist in managing program budgets, tracking expenses, and ensuring cost-effectiveness.
  • Contribute to continuous improvement by identifying opportunities for program enhancement and implementing changes to improve participant experience and program outcomes.
  • Perform various administrative duties, including coordinating and scheduling meetings, managing documents, and maintaining SharePoint sites.
Qualifications
  • University degree or post-graduate certificate in Human Resource Management, Event Management, Marketing, or a related field.
  • Relevant work experience in project management, event coordination, and administrative support, with a demonstrated ability to plan and implement events and programs.
  • Strong interpersonal skills, with a high level of professionalism and accountability, and the ability to work well under pressure and use good judgment in assessing and responding to difficult situations.
  • Outstanding customer service skills, with the ability to interact with, engage, and build relationships with diverse stakeholders.
  • Strong organizational skills, including scheduling, planning, coordinating, time management, and attention to detail.
  • Excellent verbal, written, and multi-media communication skills, with proficiency in Zoom, Teams, MS Word, Excel, Adobe, and PowerPoint.
  • Curiosity and interest in HR best practices and trends, contributing to UHN's commitment to excellence in leadership development.
