As a Secretary, you'll play a crucial role in the department's administrative operations, supporting staff and ensuring efficiency.

You'll be the friendly face at the front desk, assisting visitors and backing up your team with reliable support. If you're passionate about maintaining smooth operations and creating a positive first impression, we want you on our team.

Primary Accountabilities

In this role, you'll need to be efficient, confidential, and adaptable in a fast-paced environment. Your tasks will be essential in meeting deadlines and ensuring seamless operations. Your key responsibilities will include:

  • Maintaining and organizing files using the STAR/STOR system for quick and accurate information retrieval.
  • Managing documents - faxing, copying, scanning, and filing.
  • Handling Freedom of Information and Protection of Privacy requests promptly.
  • Efficiently processing incoming and outgoing mail.
  • Responding to inquiries and directing calls to the right contacts.
  • Ensuring confidentiality when handling various documents, including typing reports and entering client notes into the system.
  • Keeping files and documentation organized and up-to-date.
  • Scheduling meetings and managing calendars effectively.
Qualifications and Experience

You should have a one-year business course and at least two years of administrative support experience or an equivalent combination of training and experience. You excel in a team environment, are proficient in Microsoft programs, and can work autonomously in a fast-paced setting. Your attention to detail, organizational skills, and ability to maintain positive relationships are key. Familiarity with the Integrated Case Management system is a plus.

Working Conditions

Salary Range: $1,684.00 Bi-Weekly
