Context:

Sanctus Solutions is currently expanding its team in preparation to submit a comprehensive proposal for a large, three-year project in response to a Request for Proposal (RFP). This initiative represents a significant opportunity, and we are seeking highly qualified professionals to join our team. Preference will be given to candidates with experience in the education or public sector, as these areas are critical to the success of the project. Candidates should be comfortable with their resumes being shared with the client as part of the proposal submission process.

Summary

As a Project Coordinator, you will support the successful delivery of projects by interfacing with program, project, and operations teams, as well as diverse stakeholder groups. You will follow the project management framework and processes, assist Senior Project Managers, and handle small projects or initiatives with guidance. This role provides a fantastic opportunity to develop your project management skills in a dynamic and supportive environment.


Key Responsibilities

  • Stakeholder Interface: Regularly interface with program, project, and operations teams, along with diverse stakeholder groups, to achieve project objectives.
  • Project Management Framework: Follow the established project management framework and processes for the delivery of small projects.
  • Project Planning: Plan small initiatives and projects with direction from Senior Project Managers, ensuring alignment with project goals.
  • Monitoring and Reporting: Monitor and report on small projects and planned work, ensuring they stay on track and within budget.
  • Support Senior Project Managers: Assist and provide coordination support to Senior Project Managers on larger projects as requested.
  • Issue Escalation: Escalate any issues to the Senior Project Managers and Senior Program Manager as needed.
  • Project Documentation: Perform project-specific activities, including but not limited to:
  • Creating or assisting in the development of core project documents (e.g., charter, schedule, plans).
  • Obtaining formal sign-off from stakeholders on project deliverables.
  • Assisting in the creation of timely, accurate, and complete project reports for the project team and sponsors.
  • Collecting and documenting project-specific information required for communications.
  • Maintaining appropriate project records and documentation.


Requirements

  • Bachelor's degree in Business Administration, Information Technology Project Management, or a related field (equivalencies related to education and work experience will be considered).
  • 3+years of experience in project coordination or a similar role, preferably in an IT or professional services environment.
  • Strong organizational skills, with a keen attention to detail and the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, with the ability to collaborate effectively with diverse stakeholder groups.
  • A proactive, self-motivated approach, with the ability to work independently and with minimal supervision.
  • Familiarity with project management frameworks and tools is an asset.
  • Project management certifications or designations are considered an asset.
