Property Administrator oversees daily and periodic administrative functions for residential buildings, ensuring uninterrupted property management services to tenants.

Duties and Responsibilities:

  • Accounts Receivable and Collections: Assists with tenant accounts, initiates collection activities, and maintains tenant deposits.
  • Accounts Payable Process: Maintains monthly accruals, processes and reviews invoices, and ensures accuracy in account coding and approvals.
  • Tenant Relations: Serves as primary point of contact for complex tenant issues and inquiries, contributing to tenant retention and satisfaction.
  • Reporting: Prepares weekly, monthly, and quarterly reports to inform management decision-making.
  • Budgeting and Re forecasting: Assists with monthly financial reporting, shared facilities report, and annual budget.
  • Marketing and Leasing: Assists with rental and lease administration procedures, including showing suites to prospective tenants and approving/disapproving tenant applications.
  • Tenant Notices: Prepares and issues notices related to rent increases, lease renewals, and vacating notices, and attends tribunal hearings as necessary.
  • Property Documentation: Maintains documentation and correspondences for building maintenance, repairs, and services, and updates office supplies inventory.
  • Staff Supervision: Oversees and monitors site staff, ensuring compliance with company policies and procedures.

Minimum Requirements:

  • Up-to-date knowledge of City By-Laws
  • Good knowledge of MS Office applications
  • Minimum 5 years experience in property administration
  • College Diploma in Business Administration or equivalent
