Responsibilities:

The Contract Specialist is responsible for submitting timely and accurate contract proposals, based on customer specifications, in order to achieve both market competitiveness and high margins.

  • Process all types of proposals (RFQ, RFP, amendments) received from internal and external customers;
  • Formulate competitive quotations, taking into account best available product mix and appropriate technical and commercial considerations for each individual situation. Ensure quotations are well documented with appropriate level of detail;
  • Identify potential vendors for required equipment and supplies, and evaluate vendor offers to match with tender specifications;
  • Manage the collecting and collating of all technical and project management aspects of the quotation, including cost elements and trading conditions;
  • Archive documentation regarding the tender, and record assumptions and decisions taken during the development process;
  • Regularly report the status of the quotations, and collect and analyze the reasons for tenders being lost and won;
  • Establish and maintain effective customer relationships to understand customer needs. Ensure a positive customer experience throughout the process;
  • With the support of management, review, provide recommendations and negotiate (when required) terms & conditions.

Candidate may be required to carry out other responsibilities in order to meet changing business needs.


Qualifications:

  • Minimum of 2 years contract administration or other relevant experience;
  • Strong competencies using the following software are required: MS Access, Excel, & Outlook;
  • Bilingual (French and English*), spoken and written;
  • Make customers and their needs a primary focus of one’s actions, develop and sustain excellent customer relationships;
  • Ability to multitask on multiple, simultaneous projects;
  • A passion for accuracy and attention to detail, and excellent time-management skills are necessary;
  • Capable of working independently while also coordinating within a team environment;
  • Deadline oriented;
  • Industrial/safety product knowledge is an asset.

*This qualification is required as you will be interacting with partners, vendors, internal/external clients and/or staff across Canada on a regular basis.
