The Vantage Talent Group is sourcing for a client of theirs in Toronto, Ontario, Canada and they are seeking a highly organized and detail-oriented Group Administrator to join their team. This role involves managing administrative functions, supporting marketing initiatives, and maintaining the HubSpot CRM system. The ideal candidate will play a critical role in ensuring smooth day-to-day operations and contributing to strategic projects that enhance their business processes.


Key Responsibilities (including but not limited to):

Administrative Support:

Manage and maintain the team’s inbox, ensuring prompt responses and prioritization of tasks.

Organize and maintain digital and physical records.

Prepare meeting agendas, minutes, and follow-ups.

CRM Management:

Maintain and update client information in the CRM system (HubSpot).

Ensure data accuracy and integrity.

Generate reports and insights to support business operations.

Manage automated processes and workflows within the CRM.

Communication & Coordination:

Act as a liaison between internal teams and external stakeholders.

Disseminate important updates and information to relevant parties.

Facilitate effective communication within the group.

Project Support:

Assist with marketing and “stretch” projects to enhance team innovation.

Track project timelines and deliverables, ensuring deadlines are met.

Provide administrative support for special initiatives and campaigns.

Data & Reporting:

Compile and analyze data for internal reporting and decision-making.

Monitor key metrics and provide insights to improve performance.

Compliance & Documentation:

Ensure proper documentation of processes, policies, and procedures.

Maintain confidentiality and handle sensitive information securely.


Qualifications:

  • Experience:
  • 2–5 years of administrative experience, preferably within financial services or benefits consulting.
  • Bachelor’s degree or college diploma in Business, Marketing, or a related field.
  • Skills:
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Familiarity with HubSpot CRM or similar platforms is an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Detail-oriented with strong problem-solving capabilities.
