About Us: Manning Equine Veterinary Services offers state-of-the-art facilities, including a 21-stall barn, in-house laboratory, treatment areas, and various turnout options. Our practice caters to international horse show venues and offers specialized services, making us a central hub for equine care in the region. Located near multiple referral hospitals, we provide comprehensive diagnostic and treatment options, ensuring the best care for our equine clients.
Position Overview: We are seeking an experienced and dedicated Office Manager to oversee the smooth and efficient operation of our practice. This key role involves partnering with our veterinarians and practice owners to drive revenue, manage costs, and foster a culture of high-quality patient care and exceptional client service. As Office Manager, you will lead our team in delivering outstanding care while ensuring the financial health and operational efficiency of the practice.
Key Responsibilities:
- Leadership and Planning:
- Collaborate with Managing Veterinarians and practice owners to develop and execute growth strategies.
- Set and achieve performance goals for the practice and staff.
- Analyze and enhance systems, policies, and processes for improved efficiency.
- Act as a change leader, promoting best practices and participating in budget planning.
- Manage the practice schedule, aligning labor costs with budgetary goals.
- Financial Management:
- Oversee the financial health of the practice, including P&L analysis and financial issue diagnosis.
- Ensure accurate payroll completion, manage accounts receivable, and control practice inventory.
- Perform invoice audits and manage facility costs for financial efficiency.
- People Management:
- Collaborate with Managing Veterinarians on staffing needs, including hiring, training, and performance management.
- Implement performance-based incentives and recognition programs.
- Oversee the management of both ambulatory and on-site staff.
- Operations Management:
- Administer employee benefits and practice insurance plans.
- Develop and enforce practice policies, ensuring compliance with DEA/Controlled Substances and OSHA regulations.
- Monitor and maintain equipment and computer systems, and manage fleet maintenance.
- Maintain current licensure for all veterinarians and oversee vendor relationships.
- Client Service Management:
- Uphold and demonstrate the highest level of client service, addressing and resolving client issues promptly.
- Drive client engagement through strategic communication, marketing efforts, and community outreach.
- Manage the practice's reputation through social media and online marketing campaigns.
Qualifications:
- A genuine passion for horses and equine care.
- Bachelor’s degree in business or a related field preferred.
- 3-5 years of experience in a managerial role, ideally within a veterinary or equine-related practice.
- Strong financial acumen, including P&L management, budgeting, and inventory control.
- Proven ability to manage staff, develop teams, and drive performance.
- Experience with HR policies, problem-solving, and customer service strategies.
- Proficiency in Microsoft Office Suite; experience with veterinary practice management software is a plus.
