The location in Montreal, (Quebec, Canada), is seeking talent to fill the position of Executive Administrative Assistant. This job is full-time permanent.

Job Responsibilities/Accountabilities:

  • Ensure the smooth functioning and efficiency of the management team by providing administrative support to the CIO as well as to team members.
  • Perform writing and formatting of certain documents using computer software, including grammar correction, translation, information research, document management, filing, and photocopying.
  • Prepare documents and presentations for Board of Directors meetings.
  • Handle incoming postal and electronic mail and transmit correspondence.
  • Manage the agenda and organize meetings and appointments.
  • Coordinate business travel arrangements.
  • Answer phone calls, filter them, and route them appropriately.
  • Respond to information requests and refer them as needed.
  • Assist in preparing the annual budget and create purchase requisitions, as well as process invoice payments in SAP.
  • Manage expense accounts for the CIO and its executive team.

  • Excellent prioritization skills and ability to handle multiple tasks simultaneously.
  • Team player with effective communication across all levels of the organization and adaptability to rapid changes.
  • High degree of professionalism and ethical awareness.
  • Versatility, autonomy, and resourcefulness.
  • Strong communication and writing skills.
  • Proficiency in the Microsoft Office suite, specially creating PPT presentations.
  • Knowledge of SAP is considered an asset

Professional Experience/Qualifications:

  • College diploma in office administration or any relevant field.
  • Minimum 5 years of experience in an administrative support role for senior executives.
  • Excellent proficiency in both spoken and written French and English*.

*This is required since as part of this function, you will have to intervene with customers, partners and/or our American subsidiaries on a recurring basis, both orally and in writing.
