Our nonprofit client is seeking a bilingual Admin Assistant/Receptionist to join their team on a 3 month contract. This role requires you to be on site in Toronto.


Responsibilities

  • Answer and manage incoming calls, taking messages and directing inquiries as needed.
  • Update information and manage documents using the internal software
  • Prepare various documents (ie: memos, letters, reports, etc) and complete templates and forms.
  • Maintain and update reports and statistical records using database/spreadsheet applications.
  • Manage filing systems and forward documents to the Records Department.
  • Act as backup for reception and other clerical positions when required
  • Handle mail, supplies and schedule meetings.
  • Provide computer and technology support to staff
  • Attend and take minutes at team and other meetings as required
  • Follow financial policies and procedures, including managing petty cash and payment requisitions


Qualifications

  • 2 years of administrative support experience
  • Must be bilingual in French and English
  • Previous reception experience
  • Proven ability in keyboarding
  • Proficiency with MS Office and computer systems
  • Previous work experience within a nonprofit preferred
  • Ability to work independently
  • Excellent customer service and organizational skills
  • Flexible and able to adapt to the changing needs of the team in a fast-paced environment
  • Demonstrated initiative, problem solving and de-escalation skills
