Full job description

INCASA is looking for an Office Administrator who is passionate about making a difference in our community. Our team is looking for a reliable, passionate, and self-led individual to join us. As a Scheduling Specialist, you will be answering inbound calls, supporting scheduling needs by adding/changing/cancelling visits, and finding the Perfect Match caregiver for our clients using our computer software system.

Position Available

This is a Part Time permanent position. Schedule: Monday to Friday 8:00am-3:00pm and every second weekend 12:00pm-4:00pm. You will be scheduled weekdays and weekends, based on business needs.

Healthcare experience is not required, but for candidates with client care experience, there may be the option for additional hours in direct client care if wished.

Key Responsibilities
  • Assists the Client Care Managers with administrative duties, including but not limited to:
  • Routing mail;
  • Photocopying, filing, and typing documents;
  • Directing intakes of new clients;
  • Answering telephone and directing calls as appropriate;
  • Acting as the first line in customer service;
  • Completing reference checks for new hires;
  • Maintaining employee files;
  • Other duties as assigned by the Client Care Managers;
  • Scheduling and booking caregiver visits;
  • Responding to clients' requests for service;
  • Responding to caregivers’ questions regarding schedules and job details;
  • Working collaboratively with the office team, caregivers, and clients to create client schedules;
  • Updating clients and key contacts;
  • Office-based job, no additional travel required.
Qualifications
  • Minimum of one (1) year administrative assistant or scheduling experience is an asset;
  • Ability to accurately type 60 wpm is required;
  • Ability to operate a personal computer, fax machine, and photocopier, where applicable;
  • Requires discretion, positive communication, and effective organizational skills;
  • Experience and competence with telephone skills;
  • Ability to maintain composure when working under pressure.
