We have an immediate opening for an Administrative Assistant to join our dynamic team This position is pivotal in our office providing exceptional customer service and support to our technicians and customers.

Locally owned and operated, Welldone Mechanical Services has been providing exceptional HVAC service in Regina since 1965.

We are dedicated to providing exceptional customer service and cutting-edge technology, and equipment to our commercial and light industrial customers.

WHAT YOU WILL BE DOING:
  1. First point of contact for our customers
  2. Answering incoming calls and making outbound calls
  3. Enhance each customer’s experience, ensuring their day is positively impacted
  4. Liaison between our customers and service technicians and ensuring accurate and timely communication
  5. Gather essential information and enter data into our operating system in “real time” while communicating with customers
  6. Respond to incoming customer inquiries via telephone and emails in a timely manner
  7. Scheduling service and maintenance appointments
  8. Prioritizing incoming service requests and dispatching technicians
  9. Checking timesheets
  10. Purchaser orders
  11. Checking GPS for location and best routes
  12. Provide general administrative and clerical support

PAY: We pay based on experience

WORK HOURS: Monday through Friday, 7:45 am – 4:45 pm

QUALIFICATIONS / SKILLS:
  1. Desire to support and be part of a great team
  2. 2+ years of customer service, scheduling, coordinating, project coordinating or similar experience
  3. Excellent communication and interpersonal skills
  4. Willingness and ability to adapt, stay calm under pressure and work with a wide range of personalities
  5. Proficient in using multiline phones, text messaging and email
  6. Able to type 40+ WPM
  7. Experience using a CRM/ERP, or cloud-based operating system; we use BuildOps
  8. Experience dispatching people is a plus but not a must
