Daily Responsibilities:

  • Act as key contact person for Senior Vice President
  • Understand the organization and PC structure to source for information independently
  • Provide comprehensive daily (traditional and non- traditional) SVP support
  • Responsible for the day-to-day general office management (i.e. maintain confidentiality of files, order office supplies, computer equipment, update files)
  • Work with other Executive Assistants to complete tasks
  • Manage the SVP’s calendar (scheduling/maintaining reoccurring meetings, avoiding meeting conflicts, etc.)
  • Provide event support as needed
  • Monitor SVP’s e-mail inbox to help manage meeting proposals, action items, and proactively address or delegate inquiries
  • Review/cascade emails accordingly while upholding confidentiality (i.e., employee information, proprietary data)
  • Coordinate delegation of authority items such as expenses related to senior management, and approvals
  • Assist with pulling reports, or providing details for presentations
  • Help with errands such as lunch, coffee and etc.
  • Make travel arrangements for SVP, including international travel and ensure SVP has proper documentation
  • Provide some support to departmental financials and act as a delegate to approval for expense requests as appropriate


Must Have Skills:

  • Seasoned professional with at least 8 - 10+ years of comprehensive experience and proven success as an Executive Assistant within a corporate environment
  • Expert proficiency using Microsoft Word, Outlook, Excel, and PowerPoint
  • Must be comfortable doing untraditional and ad hoc Executive Assistant duties
  • Work independently, and within a team setting
  • Strong English communication skills (both verbal and written)
  • Interpersonal skills with the ability to build trust and maintain confidentiality
  • Strong organizational skills including ability to organize, plan and schedule activities
  • High attention to detail is critical to role
  • Ability to multi-task and prioritize workload to meet deadlines
  • Strong calendar management/scheduling skills
  • Ability to work efficiently and accurately with minimal supervision
  • Ability to use sound judgement in decision making
  • Demonstrate good problem solving skills and resourceful in working with Executive Administrative Assistants and department
  • Demonstrate initiative, positive and helpful attitude when dealing with others in a professional manner
