Senior AR Specialist

Northwestern Systems Corporation specializes in designing, manufacturing, and installing Life Science products found in Vivariums and Laboratory Research facilities, as well as Healthcare products used in Hospital Sterile Processing and Surgical departments. Our modern manufacturing facility is located in western Canada. We distribute our products throughout North America, the UK, and Asia with the help of experienced sales groups.

Northwestern Systems Corporation is seeking an experienced Intermediate Accountant/Senior AR Specialist to join our Finance team. The ideal candidate will have 5 years of experience in AR, including experience with project-based AR based on % of project delivered. The right candidate will be well-versed in Excel, ideally proficient with Pivot Tables, V-lookups, and ERP systems. As this role interacts with many stakeholders, the ideal candidate will possess exceptional communication skills with the ability to interact confidently and resiliently. You will report directly to the Controller and provide support with various financial analysis and project-based accounting duties. You are a highly organized, diligent, and resilient individual.

Some of your core responsibilities will include, but are not limited to, the following:

  • Full cycle accounts receivable for long-term complex projects based on percentage of completion.
  • Responsible for managing and updating customer accounts, creating sales orders, reviewing and understanding contracts, milestone billings, cash applications, etc.
  • Work collaboratively with the Controller to prepare monthly financial statements, including balance sheet reconciliations, preparation of inventory reports, open sales order reports, accruals, etc.
  • Engage with various internal and external stakeholders utilizing tact and exceptional communication skills to successfully accomplish credit collections tasks.
  • Work closely with the BOM coordinator to coordinate the timing of project closings to match costs with revenue properly.
  • Work closely with the Controller to ensure accuracy of percentage of completion for revenue recognition.
  • Prepare and update sales values and total estimated costs at completion of open projects.
  • Prepare commission schedules and sales team expense reports.
  • Draft correspondence for standard past-due accounts and collections, identify delinquent accounts by reviewing files, and contact delinquent account holders to request payment.
  • Prepare and process tax remittances (GST, PST, US Sales tax).
  • Assist in the year-end audit process, involving the preparation of working papers and analyses.
  • Prepare ad hoc reports for management as required.
  • Other tasks and duties as assigned.

Skills and Qualifications:

  • Minimum 5 years’ experience in full cycle AR including credit and collections, with at least 2 years in project-based AR.
  • BBA Degree or Diploma in Accounting, Finance, or Business field preferred.
  • Pursuing CPA designation considered an asset.
  • Intermediate understanding of ASPE and IFRS Accounting practices and procedures.
  • Intermediate level proficiency with Microsoft Excel, proficiency with Pivot Tables, V Lookups, and Formulas highly preferred.
  • Experience with ERP systems and tech-savvy.
  • Knowledge of US GAAP an asset.
  • Demonstrates a strong commitment to maintaining accurate records and operational efficiencies while adhering to deadlines.
  • Proven ability to handle high pressure and previous success in collecting overdue accounts.
  • Exceptional written and verbal communication skills, with the ability to converse with various internal and external stakeholders.
  • Exceptional organizational skills and attention to detail.
  • Ability to learn quickly, flexible, and adaptable.
  • Ability to work in a team or independently.
  • Strong Time Management Skills, specifically the ability to multitask and prioritize a high workload.
