Account Coordinator

RedRhino is growing and we are looking for a wildly talented Rhino to join the crash. 


As a vital member of our Accounts team, you will coordinate with the internal creative, digital marketing, and development teams to facilitate the execution of projects for a variety of clients.


In this role, you’ll report to the Account Director, acting as the internal engine that ensures projects are well organized and move through the organization in an efficient and effective manner.


Primary Responsibilities 

  • Project Coordination:
  • Assist the Account Manager / Account Director in creating project briefs, timelines, and budgets, ensuring all stakeholders are aligned.
  • Coordinate cross-functional teams, including creative, content, and digital departments, to execute marketing campaigns effectively.
  • Monitor project progress, identify potential bottlenecks, and proactively address issues to ensure timely delivery.
  • Administrative Tasks:
  • Record and maintain accurate client meeting notes and project documentation within the agency's project management systems (Google docs / Google spreadsheets, Workamajig, Jira). Previous experience working with each of these systems is preferred. Training will be provided.
  • Assist in the creation of workback schedules, and maintain / adjust timelines through the course of the project as needed.
  • Enter all project tasks into the agency’s project management systems (Workamajig and Jira).
  • Financial Tasks:
  • Assist in budget tracking, invoice processing, and financial reporting for assigned accounts.
  • Working with the Account Manager / Account Director, provide clear instructions to the finance team on the billing status of each project.


Secondary Responsibilities

  • QA / review of client deliverables before it goes to the Account Manager / Account Director.
  • Coordination and execution of general / miscellaneous requests on a daily basis.
  • Ensuring all internal departments have all necessary information, materials and elements in a timely manner . 
  • Addressing day-to-day requests as required by the Account Manager / Account Director.


Qualifications

  • Post-secondary degree in Marketing, Communication, Business, or a related field.
  • Proven experience (minimum 2 years) in account coordination, project management, or client-facing roles within the marketing, advertising, or creative agency sector.
  • Excellent written and verbal communication skills, with a keen attention to detail.
  • Strong organizational skills and the ability to manage multiple tasks within a fast-paced environment.
  • Proficiency in Google Suite, Workamajig, and Jira.
  • Familiarity with marketing concepts, digital strategies, and the execution of diverse campaigns.
  • Positive demeanor, proactive approach to problem-solving, and a collaborative mindset
