Job Description: Reporting to the Vice President, External, the incumbent provides executive and administrative support in the areas of planning and policy, personnel administration, project coordination and related confidential matters in support of the portfolio that includes Communications & Marketing, Continuing Studies, Institutional Research, International Education and College Advancement. The position communicates with senior officials of other educational institutions, government agencies, college faculty and staff, private organizations and industry, including representatives of international partners and agencies. By facilitating work across a number of College departments including supporting and coordinating cross-functional teams, the incumbent contributes to the successful and efficient execution of projects. In addition, the incumbent is a contributing member of the College's executive assistants administrative group, and may be involved in a variety of duties in support of the overall operations of the executive offices. During the absence of the Vice President, this position is accountable for prioritizing and re-directing issues to an appropriate source.

Qualifications Required:

Education

  1. Bachelor's Degree preferred or two (2) year diploma or Associate Degree in a relevant discipline with over five (5) years of recent related experience providing support at a senior executive level in a unionized setting (preferably within post-secondary education) or, an equivalent combination of education and work experience may be considered.
  2. Experience with management of projects, including drafting/writing/editing content.
  3. Proven project management skills and ability to coordinate small-mid size projects.
  4. Excellent time management skills and demonstrated ability to manage work and meet deadlines.
  5. Excellent written and oral communication skills, with demonstrated ability to gather, accurate and integrate complex information from multiple sources.
  6. Demonstrated ability to work collaboratively and build solid working relationships.
  7. Advanced computer skills with superior knowledge of the Microsoft suite of office products.
  8. Experience working with content management software.
  9. Knowledge of the BC post-secondary educational system.
  10. Experience with minute taking.

  1. Decisions requiring judgment and sound knowledge of the College and its procedures in interpreting and applying policies when representing the Vice-President;
  2. Considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and sensitive nature;
  3. Strong ability to liaise in a professional and courteous manner with Senior Leadership Team and Board members, senior leaders, government and ministry contacts, staff and the public to gather and disseminate information;
  4. Excellent ability to communicate in a compelling, clear and concise manner (both verbally and in writing) coupled with strong persuasion skills;
  5. Exceptional time management skills to prioritize and complete assignments in a manner that efficiently utilizes resources and optimizes departmental efficiency;
  6. An approach to work that practices care and thoroughness when maintaining, monitoring, calculating and summarizing data, records and budget information;
  7. Strong collaboration skills with peers and the ability to lead and direct staff as needed to ensure administrative systems and processes are consistently followed and monitored for effectiveness;
  8. Physical ability to perform the duties of the position.

Salary Range: $36.22 - $50.70 per hour

Pay Grade: Admin Paygrade 06

Compensation beyond the mid-point requires approval by the Public Sector Employers’ Council Secretariat (PSEC).

Scheduled Weekly Hours: 35

Hours may vary according to the needs of the department.
