Hays Specialist Recruitment has partnered with a law firm located in Toronto, ON. We are looking to hire a Legal Administrative Assistant to join their team on a contract basis of 3 months, which has the possibility of extension. This candidate will be working from their Downtown Toronto Office on a full time basis.


Your new role


  • Assist attorneys with the preparation and filing of legal documents.
  • Manage and organize legal files, documents, and correspondence.
  • Schedule and coordinate meetings, appointments, and court dates.
  • Conduct legal research and gather relevant information as needed.
  • Maintain and update client databases and case management systems.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Prepare and proofread legal documents, correspondence, and reports.
  • Assist with billing and invoicing processes.
  • Perform general administrative tasks such as photocopying, scanning, and faxing.
  • Provide support during trial preparation and court proceedings.


Qualifications:


  • High school diploma or equivalent; associate’s or bachelor’s degree preferred.
  • Previous experience as a legal administrative assistant or in a similar role.
  • Strong knowledge of legal terminology, procedures, and documentation.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
