Position Overview: We are seeking a highly organized and experienced Office Manager/Executive Assistant to support our President. This role is pivotal in ensuring the smooth operation of our office and providing top-tier administrative support to our leadership team. The ideal candidate will be a proactive problem-solver with exceptional communication skills and meticulous attention to detail.
Key Responsibilities:
- Provide comprehensive administrative support to the President, including managing schedules, arranging meetings, and handling correspondence.
- Oversee daily office operations to ensure efficiency and effectiveness, including managing office supplies, equipment, and vendor relationships.
- Coordinate and manage special projects, events, and initiatives as directed by the President.
- Prepare and edit documents, presentations, and reports with a high degree of accuracy and professionalism.
- Handle confidential information with discretion and maintain a high level of confidentiality.
- Act as a liaison between the President and internal/external stakeholders, ensuring timely and accurate communication.
- Assist in the preparation of board meetings, including agenda preparation, material distribution, and minute-taking.
- Manage travel arrangements, including booking flights, accommodations, and transportation.
- Support the development and implementation of office policies and procedures.
- Foster a positive and collaborative office culture, promoting teamwork and professional development.
Qualifications:
- Bachelor's degree in Business Administration, Management, or related field preferred.
- Minimum of 5 years of experience in an executive assistant or office management role.
- Exceptional organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of professionalism and integrity.
- Strong problem-solving skills and attention to detail.
- Experience in a fast-paced, dynamic work environment is a plus.

Aperçu du poste :
Nous recherchons un(e) Gestionnaire de bureau / Adjoint(e) exécutif(ve) hautement organisé(e) et expérimenté(e) pour soutenir notre Président. Ce rôle est essentiel pour assurer la fluidité des opérations du bureau et offrir un soutien administratif de premier ordre à notre équipe de direction. Le(la) candidat(e) idéal(e) est un(e) résolveur(se) de problèmes proactif(ve) avec des compétences exceptionnelles en communication et un grand souci du détail.
Responsabilités principales :
- Fournir un soutien administratif complet au Président, notamment en gérant l'agenda, en organisant les réunions et en traitant la correspondance.
- Superviser les opérations quotidiennes du bureau afin d'assurer efficacité et fluidité, incluant la gestion des fournitures, des équipements et des relations avec les fournisseurs.
- Coordonner et gérer des projets spéciaux, événements et initiatives à la demande du Président.
- Préparer et réviser des documents, présentations et rapports avec un haut niveau de précision et de professionnalisme.
- Gérer les informations confidentielles avec discrétion et assurer un niveau élevé de confidentialité.
- Agir comme intermédiaire entre le Président et les parties prenantes internes et externes, en garantissant une communication rapide et précise.
- Assister à la préparation des réunions du conseil d'administration, incluant la préparation de l'ordre du jour, la distribution des documents et la prise de notes.
- Gérer les déplacements, incluant la réservation de vols, d'hébergements et de moyens de transport.
- Soutenir le développement et la mise en œuvre des politiques et procédures du bureau.
- Favoriser une culture de bureau positive et collaborative, en encourageant le travail d'équipe et le développement professionnel.
Qualifications :
- Diplôme universitaire en administration des affaires, gestion ou domaine connexe (un atout).
- Minimum de 5 ans d'expérience dans un rôle d'adjoint(e) exécutif(ve) ou de gestion de bureau.
- Excellentes compétences en organisation et en gestion de multiples tâches, avec la capacité de prioriser et de respecter les délais.
- Compétences avancées en communication écrite et verbale.
- Maîtrise de la suite Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Capacité à travailler de façon autonome et en équipe.
- Grand professionnalisme et intégrité.
- Excellentes compétences en résolution de problèmes et souci du détail.
- Expérience dans un environnement de travail dynamique et à rythme rapide (un atout).
