Job Summary

Reporting to the PICA Sales & Business Development Manager, this is an opportunity to provide vital support to the sales team, facilitating client communication, and ensuring seamless order processing. The role involves coordinating with the print department to ensure timely and accurate order fulfillment and maintaining effective communication with clients to guarantee their satisfaction.

Key Responsibilities

Enter all client order data into the system accurately and promptly
Communicate with the print department to ensure orders are processed and shipped on time
Monitor orders throughout the system, ensuring timely processing and delivery
Maintain effective communication with clients regarding order status and any issues
Provide order reports to the accounting department
Assist clients in registering accounts on the company website, download orders placed on the website, and help clients with login issues or order placements
Interact with the manager and team regarding current client requests
Work with team members to enhance and develop streamlined processes for order management
Update with orders statuses
Provide the sales team with project and vendor research, marketing materials, and communications to the sales network
Assist with the organization and execution of trade shows
Develop in-depth knowledge of Sage software to effectively manage and troubleshoot order processing
Perform other duties as assigned by management

Qualifications

Education: Bachelor's degree desirable; but equivalent work experience may be considered.

Experience: The ideal candidate will have 1-2 years previous office experience

Knowledge, Skills and Abilities:

2 years of prior sales administration support, as a strong team player
Completion of College or University courses supporting business administration
Excellent Excel skills
Strong knowledge of sales management and order processing software systems
Excellent customer facing skills and communication
An collaborative approach to supporting when and where needed

Software Application and Technical Knowledge:

Proficiency with Microsoft Suite - Office Professional, Sharepoint, Visio, MS Project, etc.
Proficiency with Sage, GoldMine CRM, AccPac Accounting ERP, FileMaker Pro Database manager and Photoshop Illustrator is a plus
