Administrative Assistant

The Position

Hours of Work:
Monday to Friday 8:00 a.m. to 4:00 p.m.

Responsibilities:

  • Assist administratively with the completion of construction projects in a timely manner by maintaining project deadlines, coordinating construction plans and tracking daily progress for design and execution comparisons
  • Invoicing including record management, reconciling and invoicing
  • Review and compare Subcontractor work against Project Manager records to ensure design compliance
  • Verifying incoming invoices for accuracy prior to submitting to account payable for payment
  • Assist with the coordination, ordering and communication of priority locates
  • Maintain and update progress reports while working with CAD Technicians
  • Construction Verification Process
  • Create and improve spreadsheets/processes
  • CVOR record maintenance and compliance
  • Provide efficient and courteous service to our customers
  • General administrative tasks

Requirements:

  • Ontario Secondary School Diploma or equivalent combination of experience and education
  • Construction industry knowledge and experience an asset
  • 1 year of administration experience
  • Experience with invoicing and reconciling invoices
  • Ability to work collaboratively with others
  • Self managing, motivated individual with an eye for detail
  • Excellent communication, organizational and time management skills
  • Superior customer service practices
  • Ability to solve problems utilizing creative solutions
  • Ability to work in a fastpaced environment with multiple projects and tight deadlines
  • Proficient in Microsoft Office Suite Programs and other office software
  • Telecommunication, Hydrovac and Construction administration experience is a strong asset and preferred
  • Must be eligible to work in Canada
  • Language: fluent in English
