What can I expect to do in this role?: In this position, you will:

  • provide a full range of administrative and clerical support;
- draft and proofread a variety of confidential and sensitive material such as correspondence, agendas, presentations, briefing notes and reports;
- coordinate meeting arrangements which may include booking boardrooms, audio visual equipment, catering, travel and accommodation etc.;
- respond to general inquiries over the phone; track and relay messages; prepare outgoing mail
- verify expense claims, invoices and timesheets; maintain and purchase office supplies
- log and track incoming correspondence and maintain a bring forward system to track responses.

How do I qualify?:

Office Administrative Knowledge and Skills:

  • You have knowledge of and experience with financial and administrative practices and procedures in order to process claims and submit invoices, requisitioning and purchasing of supplies etc.
  • You have knowledge of administrative practices, procedures and processes to fulfill administrative and organizational support in a busy office.
  • You have experience working with electronic correspondence tracking systems in order to log, track and monitor outstanding correspondences.
  • Good arithmetic skills are required to ensure accuracy of content, including checking invoices, reconciling expenditures and preparing expense claims.

Communication and Interpersonal Skills:

  • You have well developed communication skills to provide information to others in person, on the telephone and in writing.
  • You have written communication skills to compose and edit a variety of confidential material such as correspondence, responses to queries, reports, presentations and summaries.
  • You are tactful when responding to a wide variety of inquiries from staff and external contacts.

Analytical, Problem-Solving and Reasoning Skills:

  • You have analytical skills to recognize errors when verifying accuracy and completeness of documents and correspondence.
  • You can research and compile information for meetings, presentations and briefings by selecting appropriate materials and determining suitability of content for inclusion in summaries, reports, briefing materials etc.
  • You can meet scheduling requirements for managers and ensure adequate meeting and travel arrangements.
  • You can ensure confidentiality and determine priority of issues when performing a variety of different tasks with conflicting deadlines.
