Support Staff Full-time Revised Replacement Position

(First consideration for Support Staff and Academic positions will be given to internal applicants in accordance with the respective Collective Agreements)

The Research Project & Budget Administrator will track and monitor the portfolio of internal and/or external research grants.

This includes handling financial reporting as required by Conestoga and external funders, maintaining historical, current and future (forecasted) research project financial records, communicating and liaising with staff to ensure projects meet grant award conditions and funder expectations, and liaising with external funding officials on matters related to financial administration and reporting processes.


Responsibilities:

  • Accountable for the daytoday analysis of project budgets and financial information for all research grants/contributions within the Applied Research office.
These activities will include (but are not limited to) the following:

- document, monitor and maintain financial records in accordance with the requirements of Conestoga's Finance department and external funders
- liaise with college staff, administration and external funders for the collection of financial and related information for funders and external organization reports
- analyse, interpret and communicate funder regulations and requirements to the research project investigator and/or clients involved in research activities
- facilitate and coordinate the development, implementation and maintenance of processes relating to financial and project records management
- complete regular analysis of project expenditures - actual vs. budget
- prepare and complete all government required reporting on funded projects
- participate in strategic discussions on financial processes for research projects
- responsible for inputting approved project budgets into research cost centres
- ensure project information is complete and represented accurately in client relationship management system

  • Assist in the development of new project proposals and assess new funding source requirements as compared to College business processes.
These activities will include (but are not limited to) the following:

- create templates for research project and proposal budgets that align with funder requirements and college policies and practices
- create budgets for research projects for funding proposals
- interpret and review funder financial, budgetary and reporting constraints
- educate various College staff regarding external agency rules and requirements
- compose narrative reports on project results as required by funding agencies or companies
- support with the development, presentation and dissemination of applied research policies & procedures (e.g. IP, Conflict of Interest, Project Planning, Report Writing)

  • Assist in the preparation and delivery of outreach strategies for promoting Conestoga's research capacity to industry, education institutions and other organizations.
These activities will include (but are not limited to) the following:

- the continuous improvement of the research office processes to support the research activities within the College and within the Community
- collect information and metrics for reporting and knowledge dissemination

Qualifications:

  • Bachelor's Degree in Business Administration, Accounting, Finance or a related field of study is required
  • Minimum of three years practical experience working in a busy deadlinedriven environment handling financial analysis and financial reporting is required
  • Working towards a professional accounting designation is preferred
  • Knowledge and experience with external research funding guidelines is an asset
  • Experience working independently to create information and documentation for review
  • Ability to use tact and diplomacy to achieve objectives
  • Strong analytical/statistical skills, creativity and problem solving expertise
  • Proficiency with Microsoft Office Suite including advanced Excel functions
  • Strong computer skills including ability to work with a broad range of information systems, including spreadsheets, databases, as well as sponsorbased electronic systems
  • Demonstrated experience with online reporting tools
  • Excellent organizational, interpersonal, client relationship management and customer service skills
  • Record keeping and administrative skills; experience with SharePoint is an asset
  • Proven attention to detail,accuracy and confidentiality are essential
