PURPOSE OF THE POSITION


Reporting to the Manager, Payroll you will be accountable to ensure the Project payroll functions are completed accurately and timely, and to continue to develop operational processes and systems.


Essential Functions & Responsibility

  • Facilitate team meetings and work in conjunction with fellow Payroll Supervisors, Manager, Director, HCM and Payroll Operations
  • Manage effective internal/external client relationships within own area of responsibility and build client relationships with key internal partners
  • Provide project leadership for cross functional projects with ability to focus on continuous improvement of operational processes and system (SAP)
  • Escalate potential service issues and audit compliance concerns to Manager, Payroll
  • Evaluate, recommend, develop/refine and implement payroll policies and procedures in line with departmental strategies and legislation requirements
  • Interpret daytoday business priorities and work with the team to meet changing business needs
  • Research, develop and maintain external and internal audit requirements to ensure effectiveness and efficiency of all payroll related processes
  • Work with external and internal auditors and payroll tax authorities on information relating to internal processes, controls and tax remittances
  • Support and manage recurring and year end processes
  • Oversee the processing of Semi-Monthly & Hourly Weekly Payrolls across Canada and the US in accordance with established legislation and practices
  • Manage specified payroll functions for compliance and ensure accurate and timely master data and payroll processing
  • Responsible for the time and attendance system employee onboarding, off boarding, daily attendance reconciliations
  • Support and manage, the reconciliation of the time attendance system vs. payroll hours paid
  • Assist with the implementation and ongoing maintenance of biometric solutions for time capture systems

Other Duties & Responsibilities

  • Any other duties as assigned by his/her manager.
  • Coordinate with General Foreman, Project Accountants and other stakeholders to ensure effective payroll processing in accordance with auditing procedures.
  • Maintain documents for employee information including labour qualifications and certifications, training, etc.
  • Assist project controls in tracking, monitoring and analyzing productivity data and project costs where applicable
  • Perform all payroll duties such as verifying and submitting all timesheets, audit reports, prepare new employee packages and termination/layoff forms, rate changes, and travel and board calculations

Supervisory Responsitbiliy

  • Creates and environment where direct reports feel motivated and supported through their careers
  • Organize coverage for team members for vacation, absences, and/or highvolume work periods to ensure departmental needs are met (crosstraining)
  • Optimize the contribution of the team and implement workable solutions to business issues/problems with minimum referral to management
  • Assist Director, Manager, HCM and Payroll Operations to create annual team objectives and conduct performance reviews
  • Builds trust by creating and sustaining trusting relationships
  • Train team members on new or enhanced operational procedures and policies
  • Supervise a team of seven or more employees

Knowledge & Skills

  • 57 years of experience in a payroll department
  • Strong analytical and innovative problemsolving skills
  • Ability to manage and lead staff to excellent performance
  • Ability to think independently
  • Must be a team player
  • Excellent written and oral communication skills
  • Strong time management and proven ability to meet deadlines
  • Must be highly organized
  • Extensive knowledge of SAP
  • Proficient at MS Office (Advanced Excel preferred)
  • Knowledge of payroll Legislation
  • Prior system conversion experiences an asset
  • Experience interpreting Union Contracts an asset
