To provide administrative support to the Director of Talent Recruitment & Development. This role focuses on recruitment and plays an integral role in the accuracy and integrity of the HRIS database.

This person must maintain a high level of confidentiality and have excellent interpersonal and customer-facing skills.

The HR Assistant skills we're looking for include:

  • Strong administration skills
  • Familiarity with business software such as HRIS, Google Apps, and Microsoft Office
  • Strong communication skills, both written and verbal
  • The flexibility and willingness to learn
  • Tact and diplomacy
  • The ability to work as part of a team
  • The ability to work accurately, with attention to detail

Position Responsibilities:

Recruitment:

  • Oversee the tracking applicants, setting up interviews, and assist with all related administrative correspondence
  • Assist with reference checking
  • Participate in screening resumes and interviewing when required
  • Oversee and ensure the accurate posting of positions to various websites & Mulgrave website
  • Oversee the updating and maintenance of job descriptions in the google folder

Orientation:

  • Welcomes new employees to the organisation by assisting with and participating in the orientation & onboarding processes
  • New staff orientation leave, annual mandatory training, google training as required and all onboarding procedures
  • Maintain the departing and new employee profiles in BambooHR
  • Maintain the "Buddy System" for all new hires by assigning buddies

People:

  • Assist HR with employee relations and requests
  • Update & maintain secure and confidential HR recordkeeping and documentation in personnel files
  • Assist with coordinating HR projects (meetings, training, surveys, etc)
  • Maintain performance reviews (TPGP) tracking summary (all divisions)
  • Prepare various reports using excel, google docs and HRB programs
  • Prepare, initiate and track ARD, Administrative Review & Development
  • Prepare website posts (Finalsite) for the Monthly Office Bulletin and Wellness News to be included in the weekly Head's Update
  • Prepares all correspondence for departing staff, maternity & medical leaves and/or resignations
  • Assists the HR Director with preparing annual statements, total compensation statements & new employee contracts
  • Coordinate offsite Teacher's Job Fairs (UBC, SFU, Edtalent)

Policies & Procedures:

  • Update staff handbook policies and procedures under the direction of the HR Director
  • Research policies, keep current with laws, rules and regulations
  • Assist HR with providing information and resources to staff regarding employment law and policies; staff handbook and benefits information
  • Assist Director of Talent Recruitment & Development with other duties, as required

Preferred Experience and Qualities (in no particular order):

  • Current diploma in Human Resources education program
  • 1 to 3 years work experience in Human Resources
  • Basic knowledge of employment law
  • Strong organisational, administrative and interpersonal skills
  • The ability to prioritise assignments, meet deadlines, multitask and meticulous attention to detail
  • The ability to work both independently and cooperatively as part of a team
  • The ability to manage and maintain highly confidential information
  • Excellent verbal /written communication skills and the ability to get along with all staff
  • Flexibility to take on other administrative and HR duties as required
  • Flexibility to work some evenings /weekends as required and participate in school functions, events and meetings
