The Human Resources Coordinator—Employee Relations is responsible for providing coordination and administrative
support in Human Resources activities related to legislation compliance, labour relations, disability management,
orientation, training, and Health and Safety.

What You Will Do (Position Summary)

  • Coordinates with Program Managers, OPSEU 529 and staff with regards to the Joint Health and Safety Committees
of each site (if applicable) and Health and Safety Representatives pertaining to vacancies, meeting minutes,
inspections and recommendations.

  • Coordinates with Joint Health and Safety training vendors to ensure all staff are certified, recertified and offered
any other applicable training.

  • Ensures all Joint Health and Safety Committee members are assigned training using our training management
software, HR Downloads.

  • Updates the tracking logs for all FV health and safety activities such as workplace inspections, incidents reports,
etc.

  • Updates the tracking logs for Disability Management such as LTD, WSIB, and other leaves of absence.
  • Acts as first point of contact for employees who have questions regarding HR matters. Directs inquiries to
appropriate HR team member as required.

  • Assists in drafting and communicating letters to employees and Supervisors pertaining to Leave of Absences.
  • Coordinates student placements with program managers and liaises with University/College placement
coordinators to ensure positions are filled.

  • Works with program managers to identify the need for placements and creating job descriptions and assessments
as required.

  • Responsible for student orientation and onboarding
  • Ensures that relationships with external stakeholders are maintained and promotes the values/work at FV.
  • Coordinates with the Senior Manager, Employee/Labour Relations in maintaining and creating seniority lists.
  • Coordinates with WSIB regarding workplace injuries and follows up as required.
  • Assists program managers in filling out and submitting WSIB form 7 in a timely manner.
  • Checks new and updated policy files; organizes production and maintains adequate level of inventory for the
Orientation packages.

  • Ensures all invoices pertaining to applicable Human Resources functions are paid in a timely manner and
coordinates with the Senior Manager, Employee/Labour Relations.

  • Participates and assists wellness initiatives by sending out communication and organizing events working closely
with the Director, Wellness Culture & Learning.

  • Maintains the organizational chart of FV.
  • Assists with HR projects as needed.
  • Maintains other tracking logs as directed.
  • Generates reports for management.
  • Sorts and files documents as directed.
  • Maintains confidentiality as per "Personal Health Information Protection Act" and FV policies.
  • Reviews and updates FV policies and practices as directed by HR committee and management.
  • Maintains office files and organizational records.
  • As a backup, maintains the staff and program phone list.
  • Participates in team and agency meetings as directed.
  • Assists in annual Employee Service Recognition program and other HR initiatives as needed.
  • Complies with all FV policies and procedures to ensure every reasonable precaution is taken for the protection of
employees and FV.
