is a growing company needs a reliable, organized Bookkeeper/Office Administrator to manage the bookkeeping and clerical tasks in our office as a vital contributor of running the business.


Responsibilities

  • Maintain organizational procedures and systems for office personnel, including filing, billing, accounts payable, payroll and scheduling
  • Record day to day financial transactions and complete the posting process
  • Verify recorded transactions in the correct book/system, supplier's ledger, customer ledger and general ledger
  • Match vendor invoices to Purchase Orders and packing slips
  • Bring the books to the trial balance stage
  • Perform partial checks of the posting process
  • Complete financial forms and documentations
  • Enter data, maintain records and create reports and financial statements
  • Process accounts receivable and payables
  • Handle payroll requirements in a timely manner
  • Order supplies and equipment as needed
  • Tracking and ordering for all office supplies
  • Code and post Accounts Payable invoices into QuickBooks system, file invoices
  • Perform monthly credit card reconciliations and process payments
  • Managing AR collections and posting cash receipts
  • Assist with yearend process
  • Provide administrative support to other units within the organization
  • Some reception duties, including answering phones and greeting customers and visitors
  • Receive and open all incoming mail, including matching to all invoices
  • Follow companyset policies, process and procedures
  • Other Office Administrative duties as assigned

Qualifications and Requirements:

  • Associate degree required (B.A. or B.S. preferred)
  • 12 years Accounting/Bookkeeping experience and knowledge
  • 12 years QuickBooks experience and knowledge
  • Previous experience with Wrike
  • Willingness to learn a new system (Wrike)
  • Proven ability to work in a team and adhering to tight deadlines
  • Good data entry skills and attention to detail
  • Proficiency in Microsoft Office suite
  • Experience with scheduling, budgeting and payroll
  • Advanced computer skills
  • Document Management and organization experience
  • Supply management experience
  • Strong work ethic and reliability
  • Excellent written and verbal communication skills
