Durham College Student Association (DCSA) is designed to promote and improve the student experience here at Durham College. POSITION SUMMARY

The purpose of this position is to oversee all event planning and orientation activities of the DCSA. This role will also work closely with other staff at DCSA and Durham College to help host events throughout the year for students on both DC campuses and virtually. The portfolio includes major event planning such as concerts and orientation week, on-campus smaller scale activations, and events programmed to support students and provide an excellent student life experience. Work is primarily located at the Oshawa campus. The events coordinator oversees a team of students who support the promotion of the organization and day of event support. The position requires flexibility for working hours and some evening and weekend availability.

REQUIREMENTS

  • Work with Operations Manager to plan events and to communicate effectively to all groups within the campus environment, including online and virtually.
  • Be an innovative and creative individual willing to work with various groups to plan and complete all events of DCSA – from a small-scale games night to signature events.
  • Work closely with Marketing Coordinator, Student Networks and Engagement Coordinator, Support Hub Manager and their staff to promote all events.
  • Coordinate and train event staff and work-study students to execute various events throughout the year.
  • Strong interpersonal and staff management skills are required to assist student staff in creating a productive and supportive workplace experience for all DC students.
  • Oversee the creation of the full-year events calendar and ensure that those events are advertised on time and delivered on budget.
  • Communicate event details to students, management, staff, college, and external community partners to promote all events to all groups within the campus community.
  • Maintain and implement incident report policy at all events, and work closely with the event team to ensure all events follow DCSA and Durham College protocol for event safety.
  • Work with the Student Development office in creating and carrying out a comprehensive Orientation Week Program, and communicate to the various departments of DCSA the needs for the program.
  • Manage all contracts and applications required for successful events. This includes vendors, performers, and risk management approval forms.
  • Lead, coordinate and monitor the performance of the Events Team, including being the main coordinator of the hiring process, the primary supervisor of the team, and escalating any concerns to the Operations Manager.
  • General administration duties, payroll support, tracking, and reporting.
  • Other duties as assigned.

QUALIFICATIONS

  • Post-Secondary degree or diploma in Events, or Volunteer Coordination, or have equivalent work experience.
  • 3-5 years of relevant experience of working in a similar environment, with events, management and volunteers.
  • Solid understanding of a student environment and voluntary sector.
  • Experience in working with and supporting staff, volunteers with recognition events and training.
  • Ability to present information clearly and concisely.
  • Experience of developing and maintaining relationships with internal and external stakeholders.
  • Support the organizations management in carrying out the strategic direction of the board of directors.
  • Ability to manage working time effectively and prioritize projects appropriately.
  • Support in creating a welcoming office atmosphere for students and always being available to support a student with access to our services.
  • Time management and organizational skills.
  • Ability to travel between and work at multiple campus locations.
  • Ability to work in and support a diverse and inclusive workplace.
  • An understanding and appreciation of indigenous cultures and a commitment to reconciliation with the indigenous peoples in Canada.
  • Ability to work as part of a team as well as independently.
