JOB OVERVIEW


Under the supervision of the VP, Cancer Strategy and Innovation (CSI), the coordinator will be responsible for providing administrative support to CSI team members, in both English and French.

This includes coordinating a variety of internal and external meetings, processing invoices for payment, establishing an intuitive file management system on SharePoint, and supporting management of the VP's calendar.


WHAT YOU'LL BE DOING:

Coordination of project-related tasks

  • Coordinate and attend meetings of the Quebec Senior Leadership Team and Mission Senior Leadership team (both in French), to support the Director, Partner Engagement
  • Collaborate with Director of HR on the Living in French at CCS project.
  • Coordinate onboarding of new CSI staff members
  • Attend meetings and participate in proficiency sessions led by CCS' Coordinators and Assistants working group
  • Coordinate travel bookings for CSI team members
  • Support VP and Directors in organizing the annual team retreat
  • Support the CSI team in the coordination of specific projects
Meeting, file and financial administration

  • Support the CSI team in managing documents and meetings related to performance indicators, Mission information briefs, and patient and health professional engagement needs, among other matters
  • Process payment for expense claims and invoices
  • Manage CSI VP calendar
  • Organize booking of internal and external meetings that involve CSI team members
  • Develop, manage and update Sharepoint site for the CSI team
  • Develop new administrative processes and digital tools (e.g., forms, Excel files, etc.)
Ad hoc CSI team support

  • Research statistics, data, studies or other documents, as needed
  • Organize and plan CSI team activities
  • Collaborate with other departments to set up meetings or prepare documents for joint projects with the SI team.
  • Collect data and prepare reports as needed.
  • Review/validate French translation of communications that are created in English
  • Actively contribute to our culture of justice, belonging, equity, diversity, and inclusion by ensuring that all staff feel represented and heard regardless of their gender, age, religion, ethnicity, and nationality or race.

QUALIFICATIONS:

  • University education in a relevant field
  • 3 to 5 years of related work experience
  • Knowledge of the health network, oncology (an asset)
  • Experience interacting and communicating with other notforprofit organizations, health sector organizations, community services or public health sector organizations
  • Able to work independently and in a hybrid office/home office capacity
  • Strong oral and written communication skills
  • Strong time management and prioritization skills
  • Demonstrated analytical skills and ability to distill information
  • Excellent interpersonal skills
  • Bilingual in English and French (oral and written)
