Role Overview:

The Take-Off Associate role serves as the entry-level position in our sales office and acts as the foundational training role for all other positions within the Company. This pivotal role involves two processes, Take-off and Estimating.

Take-off involves analyzing project requirements, performing precise material take-offs, managing the take-off email inbox for efficient task prioritization, and ensuring timely customer responses. The role also plays a key part in facilitating smooth project transitions, managing databases, and actively seeking process improvements, all contributing to enhanced project efficiency and customer satisfaction.

The estimating process is critical for ensuring accurate project cost estimation, ultimately enhancing our competitiveness and profitability. You will acquire a thorough understanding of our equipment offerings, employ specialized software for precise cost estimates, and verify supplier quotes for accuracy and competitiveness. Additionally, you will play a central role in maintaining cost transparency, analyzing project drawings, and serving as a primary point of contact and support for clients, vendors, and our Sales/Project Management teams.

Responsibilities:

The following is a list of the essential duties and responsibilities of this role. The tasks and time spent performing each task may vary as business needs require. Olympic International maintains the right to modify job duties and responsibilities at its discretion. The range of specific responsibilities will include but not be limited to the following:

  • Collects mechanical specifications, schedules, and project data, maintaining organized records of take-offs, estimates, and project-related documents.
  • Manages the take-off email inbox to prioritize tasks efficiently, ensures timely responses to customer inquiries, and streamlines coordination with all involved parties.
  • Performs accurate mechanical take-offs from project drawings and specifications, precisely quantifying necessary materials and equipment while adhering to the product range.
  • Streamlines information and workflow effectively, manages various software and databases, including the job bid calendar and in-house software tools for accurate HVAC equipment cost estimation.
  • Enters all pricing information, including equipment cost, freight, and accessories, into the company's ERP system for accurate project budgeting.
  • Reviews and analyzes project drawings to identify specifications, quantities, and units types for accurate pricing.
  • Collaborates with cross-functional teams, clients, and sob-contractors to gather project requirements, scope, and specifications, transforming them into quotes, cost and timing estimates, reports, and proposals.
  • Designs specifications for machinery and systems, develops solutions and innovative approaches to solving design challenges, and provides mechanical take-offs.
  • Establishes work priorities, ensures procedures are followed, and carries out administrative activities.
  • Performs additional responsibilities as assigned.
Skills and Competencies:

Required

  • Proven ability to multitask, stay organized, and manage multiple projects simultaneously with a focus on budget management, productivity, and meeting deadlines.
  • Proficient in the use of Microsoft Office, Business Central, Google Suite, and SharePoint.
  • Possesses superior organizational, communication, and project management skills.
  • Has a strong customer focus, thinks outside the box, and is capable of coordinating with clients and managing multiple responsibilities.
  • Applies analytical skills to break projects into tasks and sub-tasks, and pays attention to detail.
  • Is a self-starter and a quick learner, eager to develop their skills, willing to learn, open to coaching, and committed to continuous growth and improvement.
  • Exhibits meticulous attention to detail for precise material and equipment quantification.
  • Effective time management skills to meet project deadlines and maintain high customer satisfaction.
  • A basic understanding of HVAC systems and concepts is considered an asset.
Educational Requirements:

Education, Licenses and/or Certification, Experience Required

  • The ideal candidate will hold a bachelor's degree or diploma in Engineering or a related field, or possess an equivalent qualification as a HVAC technologist.
