Job Title
Executive & Office Services Assistant, MCCR

Primary Responsibilities

Executive Assistant

  • Provides calendar management and manages meeting logistics (room bookings, video conference, physical materials, etc.)
  • Assists executives with issues regarding HR and related matters, including headcount tracking, recruitment/onboarding, relocation and physical premises requirements, management of organizational charts. May provide assistance to broader team on a limited basis.
  • Maintains Record of Vacations & Absences.
  • Organizes travel arrangements.
  • Prepares and submits expense claims and ensures their integrity.
  • Obtains approval for payment of major invoices, including suppliers of services under contract.
  • Manages the assignment of system access roles for new employees.

Offices Services Assistant (Supporting the Business Management Team)

  • Main contact for floor administration and communication.
  • Maintains access to desk booking systems and assignment of lockers.
  • Approver for premises access cards.
  • Maintains office equipment and stationery with support of Concierge team.
  • Assist with Business Continuity Planning as needed.
  • Assist with MCCR presentations, meetings and social events.
  • Assists with inventories and tracking (e.g., laptops/desktops and time studies
  • May assist in historical group expenses for anomalies.
  • Assists with global FTE and other cost tracking.
  • Approves service access requests (A. Hammond delegate)

Must Have

  • Excellent organizational skills
  • Ability to work under time constraints and prioritize requests from multiple individuals
  • Effective communications skills.
  • Strong judgement and initiative skills.
  • Good attention to detail
  • Proficiency in selective PC software (Word, Excel, Power Point and Sharepoint)
  • Mature, professional individual with initiative and sense of urgency

Authorities, Impact, Risk

  • Remains alert to opportunities for procedural/systems improvements and costsaving initiatives
  • Maintains and balances Visa expense cards/prepares claims.

Working Conditions (Legislative Requirements)

  • Mental Effort: Occasional effort (about 1 to 2 hours at a time on average) to concentrate on the preparation of written or electronic materials and the use of standard computer software. Visual attention and / or active listening is required, but the work provides for choice of action.

Job Summary


This role provides administrative support to VP, Counterparty Credit Risk, VP, Enterprise Market Risk, and MD and Head, Global Risk Analytics and their teams.

Supports the Business Management Team in its support of MCCR in Canada and globally.
