Internal Coordinator


Position Overview:


As an Internal Coordinator at our esteemed car dealership, you will play a pivotal role in ensuring smooth internal operations and excellent customer service.

Your responsibilities will encompass various administrative tasks, internal coordination, and assisting with phone inquiries to maintain high standards of efficiency and professionalism within our dealership.


Key Responsibilities:

Internal Coordination:

  • Act as a central point of contact for internal communication among different departments within the dealership.
  • Coordinate with sales, service, finance, and other teams to ensure seamless workflow and timely completion of tasks.

Customer Service:

  • Answer phone calls promptly and professionally, addressing customer inquiries, scheduling appointments, and transferring calls to the appropriate departments.
  • Provide information about available vehicles, promotions, and dealership services to potential customers.
  • Maintain a courteous and helpful demeanor to ensure a positive customer experience over the phone.

Administrative Support:

  • Manage paperwork related to vehicle sales, service appointments, and dealership operations.
  • Assist with data entry, filing, and maintaining records accurately.

Back up Repair Order Write-Up:

  • Greet customers warmly as they arrive at the dealership's service center and assist them with filling out repair order forms.
  • Listen attentively to customers' concerns regarding their vehicles and accurately document all relevant information on the repair order.
  • Provide detailed explanations of recommended repairs or maintenance services, including cost estimates and timeframes for completion.
  • Collaborate with service technicians to ensure clear communication of customer expectations and service requirements.
  • Prioritize repair orders based on urgency and allocate resources effectively to minimize wait times for customers.
  • Follow up with customers throughout the repair process to provide updates on the status of their vehicles and address any questions or concerns.
  • Review completed repair orders with customers, ensuring satisfaction with the quality of work performed and explaining any warranties or guarantees provided.
  • Collect payment for services rendered and assist customers with scheduling future appointments or additional services as needed.

Requirements:

  • Proven experience in administrative roles, preferably within the automotive industry.
  • Excellent communication skills, both verbal and written.
  • Strong organizational abilities with attention to detail.
  • Proficiency in using office software and familiarity with dealership management systems (DMS) is a plus.
  • Ability to multitask and prioritize tasks effectively in a fastpaced environment.
  • Customeroriented mindset with a passion for delivering exceptional service.
