The Department of Justice is responsible for the administration of justice and for promoting access to justice and the safety and security of Nova Scotians through justice-related programs, services, and initiatives.
Our efforts to promote safety, security, and access to justice for Nova Scotians span all areas of the Department and include programs and services that assist vulnerable people including Indigenous Nova Scotians, African-Nova Scotians, and Nova Scotians with disabilities.
About Our Opportunity:
The Department of Justice has two (2) distinct and independent Records and Information Management (RIM) Programs.
As the Records Analyst, you will be responsible for working with all branches of the Department, key stakeholders, and other Departments on records and information management requests.
You will be responsible to implement and enhance record-keeping solutions including developing and maintaining effective delivery and administration of services relating to the Central Registry.
In this role, you will have a direct impact on the efficiency and effectiveness of the Attorney General of Nova Scotia, the judiciary, their operations, services and accountability to citizens of Nova Scotia, and the justice system.
Primary Accountabilities:
You will ensure the DOJ's RIM program is managed in accordance with the provisions of various acts, DOJ's Records Management Policy, STAR/STOR retention schedules, and all other legislation, policies and procedures affecting access, privacy, and records life-cycle management
Your responsibilities will include:
- Implementing and managing the records and information management programs and working collaboratively to deliver the programs in adherence with the Corporate Information Management Framework and the principles of accessibility, quality, optimizing value, accountability, integration, and protection.
- Managing data administration and analytics by maintaining the records databases, generating reports, identifying trends, and solving problems using data analytics.
- Consulting with and providing advice and training to staff respecting records and information and carrying out needs assessments to ensure all records and information management requirements are met.
- Examining and proposing information technology solutions that support the Department's information and records needs and requirements, while respecting government policies, including coordinating crossdepartmental records, researching various computer systems, software, and networks, and evaluating and facilitating database enhancements to improve search and retrieval services.
Qualifications and Experience:
You have completed a Bachelor's degree in a related field (such as records management, archives management, information management, or library science) and have two (2) years of related experience.
You demonstrate the following essential qualities including:
- comprehensive knowledge of records management and records management programs
- proficiency in computer programs including Microsoft Office (Word, Outlook, Excel, PowerPoint, Access)
- experience using STAR/STOR records classification or similar records classification systems
- knowledge of records management principles and terminology and related legislation in Nova Scotia
- exceptional attention to detail, organizational, and time management skills.
You have a knack for identifying new or improved procedures, equipment, systems, and technologies. In addition, you have strong relationship and communication skills to engage with various stakeholders internal and external to government. Membership in a Records Management Association is considered an asset.
We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.
Equivalency:
An equivalent combination of education and experience may be considered; examples of equivalencies include:
- Completion of a related Master's Degree, or
- Completion of a 2year diploma program along with 4 years of related experience, or
- 6 years of related experience.
