Purpose of Position:

  • The ISETS Summer Student Land Code Assistant is responsible for providing administrative support in advancing deliverables of the Developmental Phase Framework Agreement (DPFA) and with the efficient operations of the LLT Department and functions within TteS.

Duties and Responsibilities:

Provides daily administrative support to Land Code Coordinator and Land Code Environmental Technician to ensure an efficient and effective deliverables are met. (95%)**- Assists with coordinating, scheduling, setting-up Land Code meetings, teleconferences, and video conferences (including equipment set-up) and where necessary notifies the applicable attendees of standing and special meetings.

  • For the scheduled meetings assists with catering as needed, prepares agendas, distributes agendas, and records, transcribes, and distributes minutes of meetings.
  • Assists with responses to incoming Land Code inquiries
  • Assists data entry as needed.
  • Assists preparing and/or editing various forms of correspondence such as letters and reports.
  • Assists with photocopying, scanning, and filing appropriate documents in the various filing systems.
  • Assists with organizing and maintaining various office areas, not limited to: resource library, archives, storage, and office supplies.
  • Use of office equipment, not limited to: computers, laptops, scanners, photocopiers, calculators, fax machines, cell phones, telephones, postage machine, folder inserter machine, and other equipment for (in person / virtual) meetings or training events.
  • Performs all duties and responsibilities in accordance with the TteS policies, standards, and procedures.
  • Maintains confidentiality on all matters relating to the affairs of TteS

Skills and Abilities:

  • Good oral and written communication skills.
  • Must have computer skills in Microsoft Suite, which includes Word, Excel, Outlook and Teams.
  • Strong organizational and planning skills.
  • Ability to maintain an electronic and physical filing systems.
  • Proven ability to execute and adhere to office procedures and practices.
  • Ability to take initiative.
  • Must have strong teamwork and cooperation, service orientation and problem solving and judgement skills.
Ability to work in multi-cultural settings.

HOURS OF WORK:

Normal Day shifts - 7 hours. Non-normal shifts may be required.

PAY GRADE:

Starting at $17.40 depending on education & experience
