Coordinating Assistant

We are currently looking for a highly skilled, caring, and safety focused individual. In this role, you will report to the Risk Manager. The Coordinating Assistant will work alongside Project Managers and Project Coordinators on the project site.

Responsible for supporting the project team in general administrative activities and assisting in the day-to-day management of the assigned projects.

The Coordinating Assistant role is an administrative based role and is not limited to the responsibilities listed below. This role is located on the project site in Etobicoke.

Here's What You'll be Responsible for:

  • Typing and distribution of meeting minutes
  • Assist in the preparation and distribution of scheduled reports
  • Develop and maintain a filing system for both paper and electronic files
  • Enter Original Budget, Process Change Orders, and budget changes in both an Accounting and Project Management system
  • Typing and distribution of Contract revisions
  • Prepare and balance budget reports monthly
  • Coordinate new account codes
  • Enter and maintain contact directory and project list
  • Prepare and distribute project start up documentation and forms
  • Organize stationary for project site offices
  • Support the Estimating Department during tender closings, when required

Qualification Requirements:

  • Welldeveloped skills and experience with using Microsoft Office products such as Word, Excel, Visio, Project, and PowerPoint
  • Knowledge of office management systems and procedures
  • Proven ability to establish profitable relationships with internal and external stakeholders
  • Computer literate, including proficiency with Microsoft Office Suite, and Microsoft Project
