RESPONSIBILITIES

Administrative Role:

  • Work closely with a team of brokers to ensure that all marketing and administrative needs are met
  • Respond to basic client and general inquiries and escalate complex queries to the appropriate parties
  • Answering Inbound Calls/Leads & Dispatching: Act as the first point of contact for incoming calls and leads, efficiently managing inquiries and dispatching relevant information to the appropriate departments or personnel.
  • Interfacing with Suppliers: Serve as a liaison between the company and suppliers such as Videotron, facilitating communication, negotiating contracts, and resolving any supplierrelated issues or concerns.
  • Placing Orders: Coordinate the procurement process by placing orders for supplies, ensuring accuracy, timely delivery, and adherence to budgetary constraints.
  • Interfacing with CoStar: Utilize the CoStar platform for property management tasks, including updating property listings, managing leases, and handling tenant inquiries.
  • Interfacing with Google for

Support Issues:

Collaborate with Google support services to address and resolve technical issues or concerns related to the company's digital infrastructure.

Signage Supplier:

Verify proofs and finalize orders with signage supplier, ensuring accuracy and quality standards are met before production and installation.


  • Data Management: Maintain an uptodate property Masterlist, including relevant details such as property specifications, lease agreements, and occupancy status.
  • Coordinate, prepare, edit, proof read all documentation including correspondence, presentations, surveys and reports.
  • Any other reasonable duties and responsibilities assigned

Social Media Responsibilities:

  • Create Social Media Posts: Design and schedule various social media posts to bolster our online presence.
  • Managing the maintenance of marketing distribution tools (Adding and filtering contacts periodically)
  • Maintenance of marketing presentations and marketing collateral materials using the established branding guidelines
  • Manage the distribution of eblasts and direct mail
  • Coordinate direct marketing and other advertising sources, such as: print and online
  • Engage with marketing vendors as required
  • Build Flyers: Design and create marketing flyers for various properties and company events.
  • Build Presentations: Create professional presentations, including pitch decks, market surveys, and leavebehind pitches.
  • Continuous Website Updates: Maintain and update the company website with new properties, and recent transactions.
  • Update Listings: Add new properties on various listing sites (e.g., Spacie, CoStar, Loopnet) and manage updates.
  • Assist the Marketing Manager on daily tasks as required.

QUALIFICATIONS

  • Bilingual (French and English)
  • Postsecondary education
  • Must have strong organizational and time management skills
  • Must be able to adapt and prioritize, meeting deadlines, in a fastpaced environment
  • Must operate with a sense of urgency, quickly responding to stakeholders
  • Must have excellent verbal and written communication skills in both French and English
  • Must have excellent interpersonal and customer service skills
  • Must have a professional yet personable demeanor
  • Must be able to work well independently with an ability to work collaboratively with others
  • Must be detail oriented with strong analytical skills
  • Must be proactive and take initiative
  • Must be able to maintain confidentiality, utilize judgment, and work with mínimal supervision
  • Proficiency with all applicable software packages including but not limited to MS Windows; MS Office (Word, Excel, PowerPoint).
  • Experience managing a client database system is a definite asset
