L'adjoint administratif* devra exécuter des tâches administratives et liées à la gestion des dossiers selon les besoins, comme la copie et le classement de documents (papier et électroniques), l'archivage et la numérisation.

Principales attributions
- Recevoir et traiter les demandes liées à la gestion des dossiers (ouverture de nouveaux dossiers, gestion des dossiers fermés, procédures administratives, etc.).
- Préparer les demandes de chèque et les colis à envoyer par messagerie.
- Préparer les lettres-mandats et les documents courants.
- Appuyer le processus de facturation.
- Soumettre les dépenses.
- Participer aux procédures de connaissance du client et de vérification des conflits.
- Communiquer avec les avocats, les commis juridiques et les adjoints à la pratique relativement à la gestion des dossiers.
- Numériser et sauvegarder des éléments dans iManage, le système de gestion documentaire du cabinet.
- Coordonner les travaux de photocopie ou de numérisation à gros volume.
- Fournir du soutien administratif à ses collègues en cas de besoin.

Principales exigences
- Diplôme d'études collégiales; formation d'adjoint juridique ou de parajuriste, un atout
- Excellentes aptitudes en communication orale et écrite de même qu'en relations interpersonnelles
- Bilingue
- Capacité à faire preuve d'initiative, à travailler sous pression et à respecter des échéanciers serrés
- Solide sens de l'organisation et souci du détail
- Capacité à bien travailler en équipe, à gérer plusieurs priorités et à effectuer de multiples tâches à la fois dans un milieu de travail dynamique
- De 2 à 3 années d'expérience de travail dans le milieu des services professionnels ou dans un cabinet juridique, un atout
- Maîtrise des logiciels de la suite Office (notamment Word, Excel et PowerPoint); connaissance de iManage, un atout

Purpose of the Role

The Administrative Assistant will be expected to perform administrative and file management tasks. This includes copying, filing - both paper and electronic, archive management, scanning and completing general administrative duties as required.

Key Responsibilities
- Receive and process file management requests (Open new file folders, handle closed files, housekeeping procedures)
- Prepare cheque requests and courier packages
- Prepare engagement letters and routine documents
- Assist in billing process
- Submit expenses
- Assist with Know Your Client and conflict checking procedures
- Communicate and liaise with Lawyers, Law Clerks and Practice Assistants on file management issues
- Scan and save work to the document management system (iManage)
- Coordinate large print, scan or copy jobs
- Provide overflow support for administrative tasks

Key Competencies
- College education; Legal Assistant Program or Paralegal certification preferred
- Strong written and verbal communication skills with excellent interpersonal skills
- Self-starter with ability to take initiative, work under pressure and meet strict deadlines
- Highly organized and detail oriented
- Ability to work well within a team, manage multiple priorities and multi-task in a fast paced environment
- 2 to 3 years office experience in a professional services or law firm environment considered an asset
- Strong knowledge of Microsoft Office suite software (e.g. Word, Excel, PowerPoint), iManage experience an asset
