What we offer


As the Sales & Closing Coordinator you will work hand in hand with other members of the Sales team, assisting with day-to-day operations and process creation, development, implementation, and maintenance, including assisting with administrative support to multiple corporate departments.


What you'll do

  • Review and process sales contract paperwork and change orders in JD Edwards for accuracy and completion. Includes monitoring closing dates and specific clauses and schedules within each agreement.
  • Tracking and announcing file firming and ensure that all supporting documentation is complete, accurate and on time.
  • Manage and upload necessary documentation to BuildPro.
  • Update and manage all exterior colour administrative processes (entering repetition rules in a preferred software program and reviewing team selections prior to submitting for approval.
  • Complete and distribute weekly sales and traffic reports.
  • Facilitate the Late Change Request Process.
  • Oversee administrative management of Mattamy Alberta's spec home program.
  • Update Lawyer Information and Purchaser Contact Information in JDE when required.
  • Process and track all NSF sales deposits including reporting to management.
  • Approval of sales commission invoicing and thirdparty Real Estate invoicing.
  • General administration (filing, creating files, photocopying, scanning and mail).
  • Closing notifications to utility companies.
  • Processing amendments when sales offices are closed.
  • Cheque requisitions (Co-Broker or Purchaser Refunds)

  • Completion of college diploma required, preferably in Legal or Business Administration.
  • Must be detailed and thorough in execution of work.
  • Excellent communication skills, particularly the ability to prepare professional letters.
  • Highly organized with the ability to multitask.
  • General knowledge of the construction process and BuildPro
  • Basic Accounting knowledge/experience an asset.
  • Demonstrated proficiency and speed in Word and Excel.
  • Ability to work in a fastpaced environment, with tight deadlines.
  • Ability to be selfdirected and work with little supervision.
  • Must be available to work the sales center hours:
  • Monday-Thursday 1pm-8pm
  • Weekends 11am5pm
  • Closed on Friday

  • Legal background in real estate or residential planning
  • Familiarity with the sales process and JD Edwards
