***: The Medical Office Administrator position is key to the smooth and efficient operation of the centre and is responsible for providing a professional and a positive impact when greeting patients and visitors and to ensure that the reception area runs smoothly and efficiently with effective use of organizational, clerical and customer service skills.

RESPONSIBILITES:

  • Receive and direct all incoming calls via telephone and voice mail in a timely and professional manner
  • Patient encounters: greeting, validating health cards, obtaining demographic information
  • Greet patients in a welcoming and professional manner
  • Demonstrate exceptional conflict management skills, focusing on patient/customer service at all times
  • Prepare for mail or courier all items submitted by scheduled pick up times
  • Maintain Electronic Medical Records according to Centre requirements
  • Book patient and Doctor appointments
  • Complete data entry in a timely and accurate manner
  • Schedule consultations according to Doctors schedule
  • Confirm booking for patients and follow up telephone calls to "no show" patients
  • Followup on outstanding payments from patients as per centre standards and prepare receipts as required
  • Receive and process payments from patients and complete daily cash balances/reconciliation, petty cash, debit & credit card transactions and invoicing patients
  • Review, triage and input all facsimiles and reports into EMR
  • Book and follow up specialist appointments
  • Active participation in Patient Program and Committee meetings
  • Maintain all administrative duties to effective operate reception desk
  • Other duties as required

QUALIFICATIONS:

  • Community college diploma or certificate in Business Administration/Medical Secretarial Arts or equivalent working experience
  • Positive attitude, pleasant and professional manner in person and over the phone
  • Excellent problemsolving skills and demonstrated ability to work both independently and as a team member to achieve desired results
  • Excellence in customer service and exceptional verbal and written communication skills and interpersonal skills
  • Ability to maintain patient and centre confidentiality
  • Exceptional organizational, time management and prioritization skills
  • Ability to work well under pressure and handle difficult situations in a calm manner
  • Ability to produce high quality in accordance with centre standards
  • Demonstrated ability to complete general administrative duties as required
  • Must be able to handle work volume fluctuations
