What you'll do:


Reporting to the Chief Executive Officer you will be primarily responsible for performing a wide variety of administrative duties in support of the Discovery Co-operative Ltd.

Senior Leadership Team (SLT).

Duties will include:

  • Support the CEO in the coordination of activities for the Board of Directors, including but not limited to room bookings, meal/snack ordering and making travel arrangements.
  • Prepares monthly/quarterly board packages and reports for the CEO in advance of the board meetings, ensuring all information is kept at the strictest of confidence.
  • Serve as the point of contact for the daytoday questions regarding leases for Discovery Coop. Assist with lease administration, communication with tenants, accountants, lawyers, etc. Keeps track of important deadlines and lease terms.
  • Accumulates and compiles all business planning materials from Management and the SLT into a single document for board. Supports the SLT with preparation for the Annual General Meeting (AGM), including development of materials and reports.
  • Prepares the weekly mystery shopper report, as well as the annual Sustainability and Loop program reports.
  • Prepares and distributes the monthly newsletters on behalf of Discovery Coop. Coordinates the ordering, distribution and billing for the ID Apparel Program, TeamBook Program, Service Awards, Payit Forward Lunches, and Christmas Cards/Gifts for Tenant/Vendor/Team Members.
  • Supports the Senior Leadership team as required.
  • Provides a wide range of administrative support to the SLT, including document preparation, review and correspondence while ensuring a professional image of our brand is portrayed at all times.
  • Performs other general administrative duties include conducting website/app updates, invoicing, managing SLT schedules and providing business hours/holiday closure updates
  • To be familiar with adhere to Discovery Coop Policies and Procedures.
  • To live the Coop brand every day and perform other duties as assigned.

  • Business Administration or Executive Assistant Diploma Required. All relevant combination of education and experience may be considered.
  • 57 Years relevant progressively responsible executive administration preferred. Leasing/property management/or paralegal experience would be considered an asset.
  • Cooperative retail experience is an asset.
  • Is a selfstarter who takes great pride in their work.
  • Strong work ethic and a positive team player. Proven ability to multitask and work under tight deadlines with competing priorities and balancing multiple stakeholders.
  • Superior oral and written communication skills with keen attention to detail.
  • Extensive knowledge of computers and business communication skills and tactics including letter writing, memo writing, minute taking, report and presentation writing.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc.)
  • Secures and organizes resources effectively and efficiently.
  • Builds and maintains effective relationships with key business partners.
  • Exceptional customer service and organization skills.
