***: Reporting to the Manager of Volunteer Engagement, the Volunteer Resources Assistant is a key contributor to ensuring an excellent volunteer experience. This role assists with various volunteer management processes and provides knowledgeable support and guidance to volunteers and their managers. Our volunteers are essential members of the team in our service delivery and support the mission and values at Beacon Community Services. Setting them up for success and providing a rich and rewarding experience for the valuable time they give us is central to this role.

DUTIES AND RESPONSIBILITIES:

  • Providing administrative support for all aspects of the Volunteer Management Cycle
  • Support volunteer recordkeeping by maintaining volunteer files
  • Schedule volunteer interviews and/or orientations
  • Enter and maintain tracking data, and run reports from our volunteer database
  • Communicate and update volunteer opportunities on our website and database
  • Assist with the interview process for potential new volunteers
  • Assist with volunteer recruitment efforts by attending recruitment fairs and other public events
  • Support volunteer orientations
  • Prepare volunteerrelated resources and materials
  • Write and edit content for the volunteer newsletter
  • Assist with the planning of volunteer recognition events
  • Other duties as required

EDUCATION AND EXPERIENCE:

  • High school diploma and a minimum of one year of experience in an administrative role
  • Experience in a customer service or social service environment
  • Experience working with databases is considered an asset

SKILLS AND ABILITIES:

  • Exceptional verbal and written communication skills
  • Strong interpersonal skills
  • Strong organizational and planning skills
  • Skilled in the use of Microsoft Office 365 (Outlook, Word, Teams, etc.)
  • Ability to build strong relationships with volunteers, managers and other external and internal contacts.
  • Ability to maintain accurate records and document actions taken
  • Ability to function under pressure and meet tight deadlines
  • Ability to maintain confidentiality of information and use discretion
