The Department of Leadership, Higher and Adult Education (LHAE) at the Ontario Institute for Studies in Education is a dynamic and inclusive learning community comprised of scholars focused on educational leadership and administration, policy and change, social justice and community engagement.


LHAE offers three graduate programs that consider education across the lifespan: Adult Education and Community Development, Educational Leadership and Policy, and Higher Education.

These programs are enriched by our internationally-recognized faculty and the diversity of our students.

Your opportunity:


Reporting to the Manager, Departmental Academic Operations & Administrative Services and working closely with the Chair and Program Coordinators, the Academic Programs Manager provides oversight of and leads support for LHAE's graduate programs.

The incumbent is responsible for providing program development, strategic input and functional direction to ensure that all academic operations of LHAE are implemented in a proactive, professional, collegial and knowledgeable manner.


The incumbent will lead the Graduate Liaison Team and will be expected to build and expand on an existing framework of responsibilities, actively seeking innovative ways to enhance and improve the program services that the LHAE offers its students and ensuring that they are implemented to the highest standards possible.


Your responsibilities will include:

  • Overseeing daytoday operational needs and service delivery requirements of programs
  • Planning and implementing academic and instructional program schedulingfor the department
  • Keeping wellinformed on changes to courses, program requirements, policies and procedures
  • Determining logístical details required for the execution of admissions processes
  • Advising students on financial aid matters, bursaries, budgeting and personal financial management by probing and providing a range of options and possible outcomes
  • Analyzing service delivery and/or internal processes and recommending improvements
  • Building and strengthening relationships with stakeholders and partners of strategic importance
  • Planning and estimating financial resources required for programs and/or projects

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum five (5) years of recent and related experience providing program administration for a graduate program in a postsecondary environment.
  • Demonstrated experience providing academic advising to current and prospective graduate students.
  • Experience working directly with students to provide program and student services information, including admissions, registration, course enrollment, degree requirements, awards, and final exams.
  • Experience providing program administration including administering fee deferrals, course enrolment, timetabling, course evaluations, grades, final exams, and petitions.
  • Experience analyzing and making recommendations on awards and scholarships, and graduate funding packages.
  • Experience advising faculty on appropriate graduate academic guidelines and procedures, and maintaining workflows.
  • Experience developing and delivering student recruitment presentations, and updating content on websites and in student handbooks.
  • Experience working with and interpreting University of Toronto, School of Graduate Studies guidelines and procedures.
  • Experience creating and maintaining databases, and experience extracting, analyzing, and arranging relevant information in reports to inform decision making.
  • Advanced skills in ROSI, ROSI Express, Quercus, Slate, eMarks, or similar student systems to enter data, retrieve information, and generate reports.
  • Proficiency in Office 365 suite (Word, Excel, PowerPoint, Outlook, OneDrive) and SharePoint.
  • A strong customer service orientation, and effective interpersonal skills to deal with students, staff and faculty with professionalism and tact.
